Our client, a growing multi-sector business group, is seeking to hire an experienced, highly organized, and professional Secretary to provide executive and administrative support to management and ensure efficient office coordination. The successful candidate will be responsible for managing correspondence, records, schedules, and administrative processes while maintaining high standards of confidentiality, accuracy, and professionalism.
The ideal candidate should demonstrate strong organizational skills, excellent communication abilities, and the capacity to manage multiple administrative functions in a fast-paced corporate environment.
Key Responsibilities
- Office Administration & Coordination – Manage day-to-day office operations including correspondence, filing systems, scheduling, and administrative workflows.
- Executive Support – Provide administrative assistance to management, including preparation of reports, presentations, letters, and other official documents.
- Records & Documentation Management – Maintain organized physical and digital filing systems, ensuring accuracy, confidentiality, and easy retrieval of company records.
- Meeting Coordination – Schedule and coordinate meetings, prepare agendas, take minutes, and follow up on action points.
- Communication Management – Handle internal and external communications, including emails, official correspondence, and telephone inquiries.
- Office Documentation – Prepare and format official documents, reports, memos, and presentations as required by management.
- Compliance & Records Support – Maintain administrative and compliance-related records in line with company policies and procedures.
- Information Management – Ensure proper documentation, tracking, and safekeeping of sensitive company information.
- General Administrative Support – Provide overall administrative assistance to ensure smooth running of office operations and support cross-functional teams when required.
Qualifications & Skills
- Bachelors’ Degree or Diploma in Secretarial Studies, Office Administration, Business Administration, or a related field
- Minimum of 3 years’ experience in secretarial services, office coordination, executive support, records management, and administrative operations.
- Strong understanding of office administration procedures and documentation standards.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities with attention to detail.
- High level of professionalism, confidentiality, and integrity.
- Ability to work independently and manage multiple priorities effectively.
