Summary: People and Culture Administrator at Strathmore University. Responsible for supporting employee records, HR administration, staff engagement, recruitment processes, and People & Culture initiatives. Requires a relevant HR or business administration qualification and experience in HR operations. The role is based in Nairobi with duties performed on-site.

Basic job summary:

  • The job holder is responsible for providing efficient, professional, and comprehensive People and Culture services that are customer-focused and flexible to achieve the respective faculties/schools/centers Units’ people and business strategy.

Talent Attraction and Acquisition

  • Responsible for the implementation of the recruitment process.
  • Coordinate the Talent Attraction and Acquisition process in liaison with the Heads of Departments.
  • Provide assistance in developing and implementation of the workforce plans to ensure that the Business units are adequately resourced at all times.

Contract Management

  • Prepare contracts for new staff and ensure signing off by all relevant parties.
  • Implementation of the staff onboarding procedure (except the induction training) to ensure that all new staff settle into their roles seamlessly.
  • Efficient implementation of the contract management process
  • Responsible for the return of all issued contracts by respective employees
  • Preparation and issuance of letters which pertain to change of contract terms for existing employees.
  • Monitoring the Business units’ staff contract status
  • Responsible for P&C communication on contracts management related issues such as change of employment terms.
  • Preparation of contract management related reports as and when required

Staff Onboarding and Exits

  • Ensure that new employees are properly on-boarded to foster a positive attitude, alignment to the University Values and Culture as well as ensure that the employees effectively integrate into the Institution.
  • Follow up on Induction Training for new staff.
  • Manage all separations by ensuring that exit interviews are conducted in a timely manner and feedback provided to Management.
  • Ensure that exiting staff are taken through the entire clearance process and their details are communicated to the relevant parties.
  • Prepare final documentation for staff, i.e., issue Certificates of Service.

General Correspondence and Record keeping

  • Prepare the confirmation and bonding letters for the approved training requests.
  • Ensure that all correspondence relating to references, confirmations, transfers, new appointments are dealt with, within agreed timeframes to provide quality service to employees and other stakeholders.
  • Maintain and enhance the Business Unit’s resources by planning, implementing, and evaluating employee relations and People and Culture policies, programs, and practices.
  • Collect and analyze employee data and maintain accurate, complete, and updated employee records

Employees relations and Performance

  • Perform employee advocate functions such as responding to questions pertaining to benefits programs such as medical insurance, retirement plans, sick leave, leave of absence, and employee assistance.
  • Responsible for efficient and end-to-end implementation of the Business units internal staff movements policy and procedures e.g., Promotion, departmental transfers etc.
  • Bachelor’s degree in social sciences, Human Resources, or any other related field from recognised institution
  • Professional qualification in Human Resource Management and membership to IHRM

Experience:

  • 1-3 years of experience in a relevant role.
