Admin Assistant & Personal Assistant Job
Our client is a well-established retail mall recognized for delivering exceptional shopping experiences and maintaining high standards of tenant and customer satisfaction. With a dynamic and fast-paced operational environment, the mall continues to set benchmarks in retail property management. They are seeking a proactive and highly organized Administrative Assistant & PA to the General Manager to provide dedicated executive support and ensure seamless coordination across internal and external stakeholders. The ideal candidate is a self-driven professional who thrives under pressure, anticipates needs, and takes ownership of their work.
Key Responsibilities
Manage the GM’s daily schedule, coordinate meetings, and handle travel arrangements
Act as the primary point of contact between the GM and internal/external stakeholders
Handle correspondence, prepare reports, presentations, and documentation for meetings and client engagements
Maintain accurate records of contracts, agreements, tenant files, and key project updates
Support operational and business projects by tracking progress, managing timelines, and ensuring deliverables are met
Communicate effectively with tenants, clients, contractors, and suppliers on behalf of the GM
Coordinate with contractors and service providers, managing contracts and ensuring deadlines are met
Organize internal and external events, including logistics, venue arrangements, and vendor liaison
Handle sensitive and confidential information with the utmost discretion
Act as a point of escalation for issues within the GM’s office and ensure timely resolution
Requirements
Bachelor’s degree in Business Administration, Project Management, or a related field
Proven experience as a Personal Assistant or Executive Assistant, preferably in a retail, mall, or fast-paced operations environment
Strong project management and organizational skills with the ability to manage multiple tasks simultaneously
Excellent written and verbal communication skills with experience engaging diverse stakeholders
Proficiency in MS Office (Word, Excel, PowerPoint)
A proactive, take-charge attitude with the ability to work independently
Experience in customer service or stakeholder management is an added advantage
