Operations and Administration Assistants Job

Support the Executive Director by managing end-to-end operational and administrative duties of the organization on a day-to-day basis, including facilities management, calendar management, record keeping and project management.

Collaborate with leadership to develop and execute strategic plans that align with the organization’s mission and goals

Monitor progress and make necessary adjustments to ensure the organization meets its objectives.

Strategic Planning & Implementation

  • Oversee the allocation and utilization of resources, including finances, personnel, and materials
  • Ensure that all resources are used effectively and in accordance with the organization’s values and policies.

Resource Management

  • Manage administrative functions, including office management, record-keeping, and compliance with legal and regulatory requirements
  • Develop and implement policies and procedures to improve operational efficiency.

Administrative Oversight

  • Assist in budget preparation and financial planning.
  • Monitor expenses and revenues, ensuring financial sustainability and accountability.
  • Oversee fundraising initiatives and donor relations.

Financial Management

  • Oversee recruitment, training, and development of staff and volunteers.
  • Ensure a positive and productive work environment, fostering a culture of collaboration and respect.

Human Resources Management

  • Coordinate and manage various programs and projects, ensuring they align with the organization’s mission.
  • Monitor program effectiveness and make improvements as needed

Experience and Competencies

  • Minimum two years’ working experience in the Non-Profit sector.
  • Experience with donors, regulators, banks and NGO’s is key.
  • Academic background in international relations, business management or equivalent is preferable.
  • Experience with fund raising for foundations is an added advantage.
  • Strong commercial acumen.
  • Literacy in bookkeeping is required.
  • Fluent English and Swahili with exceptional written and verbal communication skills
  • Acceptable knowledge of Microsoft Office Suite applications;
  • Presentation tools and programs
  • Good organizer and planner with time management skills
  • Experience in social media management is an added advantage.
