Inbound Logistics & Procurement Admin Manager Job
Key Responsibilities
The Inbound Logistics and Administration Manager will be responsible for overseeing and managing the end-to-end process of inbound shipments to ensure timely, cost-effective, and compliant importation of goods.
Key duties include:
Procurement Coordination
- Follow up with vendors to obtain Proforma Invoices aligned with material replenishment plans.
- Import Documentation Management
- Apply for Import Declaration Forms (IDFs) in coordination with the clearing agent.
- Share IDFs with respective vendors and advise whether Pre-Verification of Conformity (PvOC) inspections are required.
- Confirm correct tariff classifications (HS Codes) for imported goods.
- Prepare and issue Marine Insurance Cover for all shipments prior to dispatch.
- Compile and submit complete and accurate import documents to clearing agents, including invoices, marine cover, bill of lading, packing lists, certificates of conformity/analysis, etc.
Customs Clearance & Compliance
- Raise requisitions for payment of import duties and related charges with the Finance Department.
- Track import shipments proactively to ensure timely clearance and avoidance of demurrage or storage fees.
- Verify accuracy and completeness of documents submitted by clearing agents to ensure compliance with Kenya Revenue Authority (KRA) and Kenya Bureau of Standards (KEBS) regulations.
Reporting & Communication
- Prepare and maintain accurate reports, including the Imports Tracker, Inbound Logistics KPIs, and regular updates to internal stakeholders.
- Support preparation of Local Purchase Orders (LPOs) as needed.
Record Keeping & Administration
- Ensure proper filing and documentation of all import records and related correspondence.
- General Support
- Perform any other duties as may be assigned by the line manager from time to time.
Internal & External Relationships:
- Suppliers, Clearing Agent(s), Kenya Revenue Authority, Kenya Bureau of Standards, Transporters, Factory, Quality Assurance & Product Development Teams
Qualifications and Experience:
- Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, or a related field.
- 2 – 3 years of experience in logistics, procurement, or supply chain operations (FMCG experience is a plus).
- Basic understanding of import/ export procedures and documentation.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with ERP systems (SAP) is an advantage
