Job Summary

We are seeking a highly organized and proactive Project Assistant to support and coordinate the execution of client implementation and internal development projects. The ideal candidate will assist project managers and cross-functional teams by managing timelines, tracking budgets, coordinating tasks, documenting meetings, and ensuring smooth execution of all project-related activities.

Project Coordination & Management:

  • Assist project managers in planning, scheduling, and executing projects.
  • Maintain and update project timelines, Gantt charts, Kanban boards, and trackers.
  • Monitor project progress and ensure deadlines are met.
  • Coordinate with internal teams (Dev, QA, Product, Analytics, DevOps) to align activities and track deliverables.
  • Follow up with team members on tasks and escalate delays or blockers proactively

Meeting & Documentation:

  • Schedule and coordinate internal and client meetings.
  • Take comprehensive meeting notes, document action points, and share follow-ups.
  • Maintain a central repository of all project documentation including SOWs, requirements, status reports, and communication logs.

Communication & Client Support:

  • Serve as a liaison between internal teams and clients for ongoing project-related communication.
  • Prepare and send periodic project status updates and reports.
  • Handle minor client queries and coordinate timely responses from relevant stakeholders.

Task & Errand Management:

  • Track and follow up on internal errands, dependencies, and logistics related to project delivery.
  • Help prepare presentations, reports, and demos as needed by the delivery team.

Budget & Resource Tracking:

  • Track hours worked on client projects and maintain resource utilization reports.
  • Assist in managing project budgets, vendor invoices, and cost estimations.

Education & Experience:

  • Bachelor’s degree in Business Administration, Project Management, Information Systems, or related field.
  • 1–3 years of experience in project coordination, PMO, or executive assistant roles in a tech company or software services environment.
  • Exposure to software implementation projects, preferably in enterprise SaaS or B2B solutions.

Skills & Competencies:

  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication.
  • Proficiency with project management tools (e.g., Jira, Trello, Asana, MS Project).
  • Comfort with documentation tools (Google Workspace, Notion, Confluence, MS Office).
  • Understanding of agile methodology and software development life cycle (SDLC) is a plus.
  • Strong sense of ownership, initiative, and attention to detail.
