Key Responsibilities
Project Coordination & Management:
- Assist project managers in planning, scheduling, and executing projects.
- Maintain and update project timelines, Gantt charts, Kanban boards, and trackers.
- Monitor project progress and ensure deadlines are met.
- Coordinate with internal teams (Dev, QA, Product, Analytics, DevOps) to align activities and track deliverables.
- Follow up with team members on tasks and escalate delays or blockers proactively
Meeting & Documentation:
- Schedule and coordinate internal and client meetings.
- Take comprehensive meeting notes, document action points, and share follow-ups.
- Maintain a central repository of all project documentation including SOWs, requirements, status reports, and communication logs.
Communication & Client Support:
- Serve as a liaison between internal teams and clients for ongoing project-related communication.
- Prepare and send periodic project status updates and reports.
- Handle minor client queries and coordinate timely responses from relevant stakeholders.
Task & Errand Management:
- Track and follow up on internal errands, dependencies, and logistics related to project delivery.
- Help prepare presentations, reports, and demos as needed by the delivery team.
Budget & Resource Tracking:
- Track hours worked on client projects and maintain resource utilization reports.
- Assist in managing project budgets, vendor invoices, and cost estimations.
Qualifications
Education & Experience:
- Bachelor’s degree in Business Administration, Project Management, Information Systems, or related field.
- 1–3 years of experience in project coordination, PMO, or executive assistant roles in a tech company or software services environment.
- Exposure to software implementation projects, preferably in enterprise SaaS or B2B solutions.
Skills & Competencies:
- Excellent organizational and multitasking skills.
- Strong written and verbal communication.
- Proficiency with project management tools (e.g., Jira, Trello, Asana, MS Project).
- Comfort with documentation tools (Google Workspace, Notion, Confluence, MS Office).
- Understanding of agile methodology and software development life cycle (SDLC) is a plus.
- Strong sense of ownership, initiative, and attention to detail.
