Outrival HR Solutions & Consultancies Ltd is recruiting for the position of an Operations & Logistics Officer on behalf of our reputable client, a leading player in the Petroleum Transport & Logistics industry based in Eldoret, Kenya. The ideal candidate will be responsible for supporting the day-to-day transport operations to ensure efficient, safe, and cost-effective movement of trucks. The role focuses on truck maintenance coordination, fleet tracking, turnaround time optimization, and operational support to ensure maximum fleet utilization and service reliability.

Fleet Maintenance & Compliance

  • Coordinate routine inspection of trucks immediately after offloading to confirm roadworthiness before dispatch for the next trip.
  • Track and schedule preventive maintenance and servicing to minimize breakdowns and downtime.
  • Maintain accurate maintenance records for each truck, including service history and repairs.
  • Ensure that any replaced spare parts are properly stored and tracked for future use.
  • Liaise with mechanics and service providers to ensure timely and quality repairs.

Spare Parts Management

  • Source and procure spare parts at competitive prices without compromising on quality.
  • Maintain an updated inventory of critical spare parts to avoid operational delays.
  • Monitor usage trends and recommend cost-saving opportunities in procurement.
  • Build and manage relationships with reliable suppliers and vendors.

Fleet Tracking & Utilization

  • Monitor truck movements using tracking systems to ensure adherence to routes and schedules.
  • Ensure all trucks are serviced on time and are operating within optimal performance standards.
  • Track turnaround time for each trip and identify opportunities to improve efficiency.
  • Ensure optimal truck utilization by minimizing idle time and maximizing trip frequency.

Loading, Offloading & Turnaround Management

  • Coordinate timely loading and offloading of trucks to avoid delays.
  • Ensure trucks spend minimal time at customer sites and promptly escalate any delays beyond agreed timelines.
  • Monitor and manage demurrage risks by ensuring adherence to agreed service timelines.
  • Work closely with depot, drivers, and customer teams to streamline operations.

Border Clearance & Transit Coordination

  • Follow up on documentation and processes to ensure timely clearance at border points.
  • Liaise with drivers, clearing agents, and relevant authorities to avoid transit delays.
  • Track transit timelines and proactively resolve bottlenecks.

Driver Coordination & Support

  • Support driver scheduling and allocation to ensure smooth operations.
  • Monitor driver compliance with operational procedures, safety standards, and company policies.
  • Assist in addressing driver concerns, including trip issues, delays, and breakdowns.
  • Promote safe driving practices and adherence to transport regulations.

Operational Efficiency & Reporting

  • Prepare daily and weekly operational reports (fleet status, maintenance, utilization, delays).
  • Analyze operational data to identify inefficiencies and recommend improvements.
  • Support implementation of systems and processes to enhance productivity and service delivery.
  • Assist in planning and coordination of logistics operations.

Health, Safety & Compliance

  • Ensure adherence to safety standards in handling and transportation of petroleum products.
  • Support compliance with regulatory requirements in transport and logistics operations.
  • Report and follow up on incidents, breakdowns, and safety concerns.

Fuel Management

  • Monitor and record fuel dispensed to each truck and correlate with mileage to detect anomalies or pilferage.
  • Flag trucks with unusually high fuel consumption for investigation.
  • Maintain fuel logs and support monthly fuel reconciliation exercises.
  • Bachelor’s degree or Diploma in Logistics, Supply Chain Management, Mechanical Engineering, or a related field.
  • 5+ years of experience in transport and logistics, preferably in petroleum goods handling.
  • Prior experience in the petroleum, oil & gas is a strong advantage.
  • Familiarity with cross-border logistics, clearing & forwarding processes, and East/Central African trade corridors.
  • Basic knowledge of vehicle maintenance and fleet management systems.
  • Strong organizational, communication, and analytical skills.
  • Ability to work under pressure and manage multiple tasks simultaneously.
