Position: MAP Packaging Store Supervisor

Department: Packaging

Reports To: Packaging Stores Manager

Job Purpose

To oversee the day-to-day operations of the MAP packaging store by ensuring proper stock management, accurate documentation, and timely issuance of packaging materials to support efficient packhouse operations. The role ensures compliance with food safety standards, inventory accuracy, and cost control measures in the handling of MAP packaging materials.

Key Duties and Responsibilities

Inventory Management

• Receive, verify, and record deliveries of MAP packaging materials (films, trays, labels, cartons, etc.).
• Maintain updated stock records, ensuring accuracy between physical stock and system records.
• Conduct daily, weekly, and monthly stock counts and reconcile discrepancies.
• Ensure proper rotation of packaging materials (FIFO/FEFO).

Issuance & Documentation

• Issue packaging materials to production teams against approved requisitions.
• Keep accurate and complete records of packaging material issuance and returns.
• Prepare and submit daily and weekly usage reports to management.

Compliance & Food Safety

• Ensure packaging materials are stored under hygienic and safe conditions to prevent contamination.
• Comply with BRCGS, HACCP, and company policies on food safety and traceability.
• Participate in audits by providing accurate records and evidence of compliance.

Team Supervision

• Supervise and guide store assistants and casuals working in the packaging store.
• Plan and allocate daily tasks to ensure efficiency and accountability.
• Train staff on proper handling and record-keeping of MAP packaging materials.

Reporting & Communication

• Prepare daily stock movement reports and submit to the Packaging Stores Manager.
• Highlight variances, shortages, or damaged packaging materials to management promptly.
• Liaise with procurement and production teams to ensure uninterrupted supply of packaging materials.

Continuous Improvement

• Recommend cost-saving measures in packaging material handling and storage.
• Support digitization and automation of stock management systems.
• Promote lean practices in stores to reduce wastage and improve efficiency.

Key Performance Indicators (KPIs)

• Inventory Accuracy: ≥ 98% accuracy between physical and system records.
• Stock Reconciliation: Timely and accurate completion of daily/weekly/monthly reconciliations.
• Stock Availability: Zero stock-outs of critical MAP packaging materials.
• Compliance: 100% adherence to BRCGS, HACCP, and company food safety standards.
• Reporting: Timely submission of daily, weekly, and monthly packaging stock reports.
• Loss/Waste Control: Reduction of packaging material losses and damages by at least 10% annually.
• Team Efficiency: Productivity and accountability of packaging store staff.

Qualifications & Skills

• Diploma in Procurement, Supply Chain Management, Stores Management, or related field.
• At least 3 years of experience in a packaging store or inventory control role (horticulture/FMCG preferred).
• Strong knowledge of MAP packaging materials and handling requirements.
• Proficiency in ERP systems and MS Excel for inventory management.
• Strong leadership, organizational, and reporting skills.
• Good understanding of food safety and quality management systems (BRCGS, HACCP, ISO).
• High level of integrity, accuracy, and attention to detail.
