The Logistics and Front Office Administrator will play a key role in coordinating transport and logistics activities and supporting front office operations. The successful candidate will be responsible for managing company vehicles and drivers, organizing deliveries to clients, and handling documentation to support commercial and propagation activities.

Key Responsibilities:
- Managing company vehicles and drivers, ensuring all licenses, insurance, and inspections are up to date.
- Coordinating logistics activities, including the transport, storage, and delivery of cut flowers and budwood to clients.
- Organising import and export shipments from start to end (Flight booking, Document preparation, contact with import/export agent, final client follow up)
- Preparing and sharing delivery documentation such as delivery notes and clonal propagation forms with relevant teams and clients.
- Liaising with clients to confirm delivery plans and ensuring follow-up through written confirmations and documentation.
- Supporting data entry and reporting by processing field statistics and generating commercial reports used by the Sales and Propagation teams.
- Handling sales requests, delivery planning, and updates to the Budwood Orders Report.
- Assisting in resolving delivery or shipment issues and responding to field-related inquiries.
- Perform other duties as assigned by management from time to time.
Minimum Qualifications:
- Degree or diploma in Logistics, Business Administration, or a related field.
- At least 5 years of experience in a logistics or administrative role, preferably in the horticulture or floriculture sector.
- Proven experience with KEPHIS,HCDA, Kentrade, Chamber of Commerce, and AFA IMIS systems is essential.
- Hands-on experience in import/export documentation and related processes.
- Any form of experience with E-brida is a plus
- Strong communication skills (spoken and written).
- Able to work independently with attention to detail.
- Must demonstrate flexibility to work beyond regular hours and be able to perform effectively under pressure and within tight deadlines.
