HR and Admin Assistant Job

We are currently seeking a detail-oriented and organized HR Assistant to join our team and support the human resource functions while developing skills in HR administration and payroll processing.

Job Summary:

The ideal candidate will play a crucial role in ensuring the smooth operation of HR functions by assisting in employee record-keeping, processing payroll data, supporting recruitment efforts, and ensuring compliance with HR policies.

Key Responsibilities:

HR Administration:

  • Maintain and update employee records, contracts, and personal files.
  • Assist in drafting HR-related documents such as letters, memos, and reports.
  • Support the implementation of HR policies and procedures.

Attendance and Leave Management:

  • Monitor and record daily employee attendance.
  • Ensure accurate tracking of leave requests and balances.
  • Prepare attendance and leave reports for management review.

Payroll Assistance:

  • Assist in payroll processing, including compiling employee hours and overtime calculations.
  • Ensure timely and accurate submission of payroll data.
  • Address basic payroll inquiries from employees and escalate complex issues as necessary.

Recruitment and Onboarding:

  • Assist in posting job advertisements and screening candidates.
  • Coordinate interviews and communicate with job applicants.
  • Support onboarding processes, including preparing induction materials and guiding new employees.

Employee Relations and Communication:

  • Act as a point of contact for HR-related inquiries.
  • Support employee engagement initiatives and welfare activities.
  • Facilitate communication between HR and other departments to ensure smooth operations.

Qualifications:

  • Diploma or equivalent qualification in Human Resource Management, Business Administration, or a related field is preferred.
  • Proven experience in an HR or administrative role.
  • Basic knowledge of HR functions, payroll processes, and employment laws.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • High attention to detail and accuracy.
