Job Summary
The Camp Coordinator is responsible for the end-to-end management of outreach eye camps, including planning, sponsor engagement, logistics coordination, patient mobilization, and post-camp follow-up. The role requires close collaboration with clinical and non-clinical teams, community partners, and sponsors to deliver high-quality outreach services and ensure seamless patient care from community screening through to treatment and recovery.
Key Responsibilities
Planning and Targeting
- Analyze population data, prevalence of eye conditions, and historical outreach performance to set realistic and achievable targets for outreach activities and surgical volumes.
- Identify and evaluate potential sponsors, community partners, and outreach locations.
- Develop and implement annual and monthly outreach plans aligned with departmental goals.
- Conduct micro-level planning to address performance gaps and ensure consistent achievement of targets.
Camp Coordination and Logistics (Pre-Camp, Camp Day, Post-Camp)
- Identify, engage, and motivate community sponsors such as NGOs, local leaders, and organizations.
- Coordinate scheduling and confirmation of outreach camps in collaboration with internal teams.
- Facilitate awareness and publicity activities in collaboration with sponsors to ensure strong community turnout.
- Coordinate with clinical and non-clinical teams to confirm availability of medical personnel, equipment, and supplies.
- Oversee logistical arrangements including transport, accommodation, meals, and camp site setup.
- Ensure smooth coordination between sponsors, medical teams, and patients during camp activities.
- Manage patient flow, registration, and initial screening processes at camp sites.
- Arrange safe transportation of patients requiring further treatment to the hospital.
Patient Coordination and Follow-Up
- Facilitate admission, accommodation, and care coordination for patients referred from outreach camps.
- Monitor patient progress during hospital stay, including post-operative follow-up where applicable.
- Coordinate discharge processes and ensure safe transportation of patients back to their communities.
- Maintain communication with sponsors regarding patient status, including admissions, discharges, and pending cases.
- Plan and coordinate follow-up review camps to ensure continuity of care.
Performance Monitoring and Reporting
- Prepare and submit weekly and monthly outreach performance reports.
- Analyze outreach outcomes, including screenings, conversions, and surgical outputs.
- Identify challenges affecting performance and propose corrective actions.
- Participate in performance review meetings and contribute to continuous improvement initiatives.
- Ensure adherence to outreach policies, procedures, and operational guidelines.
Community Awareness and Engagement
- Conduct community sensitization and awareness programs on eye health and available services.
- Strengthen community relationships to increase direct patient inflow and outreach impact.
- Support patients identified through outreach programs in accessing timely and appropriate care.
- Introduce innovative approaches to improve outreach effectiveness and community engagement.
Qualifications and Experience
- Bachelor’s Degree in Public Health, Community Development, Social Sciences, Healthcare Management, or a related field (Required).
- Additional training or certification in community health or project coordination (Preferred).
- Minimum of 2–4 years’ experience in community outreach, healthcare programs, or field coordination (Required).
- Experience in organizing medical camps or working with NGOs/community-based organizations (Preferred).
