Overall purpose of the job

Reporting to the Assistant Director, Human Resource & Administration the incumbent will assist in implementation of records management policies, procedures, processes and standards.

Responsibilities

The duties and responsibilities at this level entail: –

  • Ensuring that letters are appropriately filed and marked to action officers;
  • Controlling and opening of files and updating file index;
  • Ensuring security of information/files in the registry;
  • Up-dating and maintaining up-to-date file movement records;
  • Ascertaining the general cleanliness of the registry; and
  • Certifying that pending correspondence and bring-ups are checked and appropriate action taken;
  • Renewing file covers;
  • Ensuring proper handling of documents, pending correspondence and bring-ups; and
  • Receiving and dispatching letters and maintaining related registers.

Persons’ specifications

For appointment to this grade, an officer must have: –

  • Diploma in Records Management/ Information Management/ Information Science/ or equivalent from a recognized Institution;
  • Proficiency in Computer Applications; and
  • Meet requirements of Chapter 6 of the Constitution.
