Job Purpose
To implement and execute the fleet and distribution strategies while observing high efficiency, timeliness, and cost effectiveness for our partner Client. This is through good coordination between Internal customers and service providers, Observing Statutory compliance and regulations, records keeping, order processing and follow up , monitoring fleet utilization, cost management, safety and reporting of the same while identifying new opportunities of improvement together with the Procurement Manager-SAS
Minimum Requirements:
- Bachelor’s degree business-related field.
- Minimum Five (5) years’ relevant working experience.
- Good interpersonal skills including a proven ability to excel in highly diverse multi-cultural settings.
- Knowledge and understanding of global imports.
- Proficiency working experience in use of ERPs (specifically SAP)
- Comfortable working as part of multidimensional team
- Good Coordination report, Communication and Negotiation Skills
- Professional membership Member of KISM

Key Result Areas
Cost Saving
- Support the distribution strategy by assessing the need against the available solution and propose areas of costs saving.
- Monitor distribution efficiency and reporting the same.
- Ensuring all vehicles are service on time to avoid unexpected breakdown and costly repairs.
- Use of Telematics system to monitor vehicle movements and fuel consumption of vehicles, checking tracking versus Total fuel report to monitor fuel utilization and fuel efficiency.
- Encouraging good driving behavior for among all company drivers and monitoring the same using telematics.
- Developing driver training programs for all drivers to lower down the fleet operating cost.
- Ensure all tires change are vetted before replacement and encourage tire retread for all trucks.
- Working closely with Supply chain manager-SAS to ensure we get value for money on vehicle spares, repair and lease cost
Supplier Management
- Consolidate transporters listing, their capability by site /service and respective documentation stored.
- Engage the transporters and service providers and resolve their issues promptly.
- Develop plan and implement perioding supplier visit to fast-track issue resolution.
- Develop and maintain strong relationships with fleet suppliers to boost flexibility and responsiveness, cost reduction and reduce supply chain related risks.
- Monitor supplier performance, address issues raised promptly, and implement improvement strategies. (issue/complaints resolution)
- Supplier payment follow up with payables.
Compliance
- Ensure all distribution permits are valid for all the counties we operate in.
- Ensure phytosanitary certificate from KEPHIS for all finished good export and site compliance of the same.
- Ensure all insurance, inspection and speed governor sticker are valid for all vehicles as per our statutory laws.
- Ensure all driving licenses are valid for all drivers.
- Ensure SLA with fleet and distribution suppliers are adhered to.
Disposal & Acquisition
- Re-evaluate the fleet and recommend replacement where possible
- Coordinating the disposal of all old vehicle as per UHL policy.
- Working closely with procurement team when acquiring new vehicles
- Ensuring all older and problematic vehicles are disposed of in time to reduce fleet operating cost.
Process improvement / CI
- Establishing and implement proper monitoring system and control of fleet and distribution process i.e. ensuring vehicle tracking and monitor system is up to date and is generating reports as per the company standards.
- Work closely with the all-vehicle users to address emerging issues and challenges.
- Provide and update all fleet reports, identify gaps and opportunities, and follow through resolution.
Risk and Safety Management
- Identification of risks in distribution service providers and client company operations and processes.
- Analyze the identify risks and plan mitigation strategies.
- Checking and ensuring all vehicles are roadworthy to ensure safety and compliance
- Ensuring all accidents are investigated and corrective remedies are done timely.
Stakeholder Management
- Reporting to stakeholders i.e. monthly spend vs budget, Report on non-compliance, accident and incident, Fleet utilization report and respective findings / recommendation.
- Working closely with distribution supervisor to ensure trucks are available for distribution of finished goods.
- Have regular engagement with all company drivers to ensure all the need and concern are addressed.
- Following up with Finance on supplier invoices and statements on time to facilitate reconciliation and timely payment.
- Communicating and engaging all fleet service providers to ensure win win relationship.
