Job Title: Admissions & Recruitment Coordinator

Reports To: School Principal

Overall Responsibility

The Admissions & Recruitment Coordinator is responsible for leading the student recruitment and admissions process, ensuring an exceptional experience for prospective families from initial inquiry through enrollment. As a key ambassador for Woodcreek School, the Admissions & Recruitment Coordinator will actively promote the school locally and internationally, build strong relationships with prospective families and recruitment partners, and support the achievement of student enrollment targets. The role works closely with the Marketing & Communications Team to strengthen the school’s visibility, enhance the admissions journey, and contribute to sustainable enrollment growth aligned with the school’s strategic objectives.

Key Responsibilities & Accountabilities

Admissions Management

  • Manage the admissions process from inquiry to enrollment.
  • Serve as the primary point of contact for prospective families.
  • Respond promptly and professionally to admissions inquiries.
  • Coordinate admissions assessments, interviews and placement procedures.
  • Organize and conduct school tours for prospective families.
  • Prepare admission offers and enrollment documentation.
  • Support new family onboarding and orientation processes.
  • Ensure all admissions documentation is complete and maintained accurately.
  • Maintain accurate admissions records and databases.
  • Monitor and manage admissions pipelines to ensure timely follow-up and conversion.
  • Support off boarding process ensuring clients get the best service.

Student Recruitment & Enrollment Growth

  • Develop and implement student recruitment initiatives aligned with enrollment targets in school and outside school.
  • Build and maintain relationships with prospective families, educational consultants, feeder schools and community partners.
  • Represent the school at student recruitment events, exhibitions, education fairs, and networking opportunities.
  • Promote the school’s academic pathways and co-curricular programs.
  • Identify opportunities to increase student enrollment locally and internationally.
  • Support the expansion of the school’s Sixth Form and international pathways programs.
  • Assist in the development of recruitment strategies for key target markets.

Parent & Family Engagement

  • Deliver a welcoming and professional admissions experience that reflects the school’s values and culture.
  • Build positive relationships with prospective families throughout the admissions journey.
  • Provide accurate information regarding curriculum pathways, entry requirements, student life, and school programs.
  • Support family retention and re-enrollment initiatives where appropriate.
  • Gather and analyze parent feedback to improve the admissions experience.
  • Plan for exit interviews from families.

Marketing & Communications Collaboration

  • Work closely with the Marketing & Communications Team to align recruitment and marketing activities.
  • Contribute admissions-related content for newsletters, brochures, website updates, and social media platforms.
  • Assist in developing student success stories, parent testimonials, and promotional content.
  • Support the planning and execution of Open Days, Information Evenings and recruitment campaigns.
  • Ensure admissions messaging remains consistent with the school’s brand and strategic positioning.
  • Guide and oversee the administrative team on weekly communications/updates to parents/guardians.

Market Intelligence & Strategic Enrollment

  • Monitor market trends in admission processes and enrollment patterns.
  • Track reasons for declined offers, withdrawals and lost admissions opportunities.
  • Gather market intelligence to inform recruitment and enrollment strategies.
  • Identify emerging opportunities for student recruitment and partnership development.
  • Provide regular admissions and market reports to the Director, Principal and Senior Leadership Team.

Data Management & Reporting

  • Maintain accurate admissions statistics and enrollment data.
  • Track inquiry-to-application and application-to-enrollment conversion rates.
  • Produce regular admissions reports and forecasts.
  • Monitor admissions targets and performance indicators.
  • Ensure compliance with admissions policies, safeguarding requirements, and data protection regulations.
  • Ensure individual student folders are well maintained both electronically and physically.

Qualifications & Experience

  • Bachelor’s Degree in Marketing, Communications, Business Administration, Education, Public Relations, or a related field.
  • Minimum of 5 years’ experience in admissions, recruitment, marketing, communications, customer relations or a similar role.
  • Excellent communication and stakeholder engagement skills.
  • Experience managing relationships with clients, parents, or prospective customers.
  • Experience working within an international school, university, or educational institution.
  • Experience in student recruitment and enrollment management.
  • Experience in marketing, communications, public relations, or business development.
  • Understanding of Cambridge, Pearson BTEC, NCUK, or other international curricula.
  • Experience with CRM, admissions, or student information systems.
