Job Summary

We are seeking a dynamic, detail-oriented, and service-driven Travel and Tours Coordinator with strong expertise in East African destinations and proven experience managing both regional and international travel programs. The ideal candidate will be highly organized, responsive, and capable of multitasking in a fast-paced environment, ensuring seamless coordination of corporate travel, leisure tours, group movements, and tailor-made itineraries while delivering exceptional client experiences. The candidate should also have a proven track record of achieving monthly departmental targets while maintaining high service standards.

Key Responsibilities

Travel & Tour Planning

  • Design, cost, and manage customized domestic, regional, and international travel itineraries for corporate, leisure, and group clients.
  • Develop comprehensive tour packages across East Africa, including safaris, beach holidays, cultural experiences, adventure travel, and off-the-beaten-path destinations.
  • Source and negotiate competitive rates with airlines, hotels, transport providers, guides, and destination partners.
  • Prepare detailed quotations, proposals, and travel documentation in line with client budgets and expectations.

Booking & Reservations Management

  • Book, issue, reissue, and refund airline tickets using Amadeus or similar GDS platforms, including manual reissues where required.
  • Coordinate hotel reservations, ground transportation, meet-and-assist services, excursions, and special requests.
  • Monitor booking deadlines, ticketing time limits, and supplier confirmations to ensure accuracy and compliance.

Corporate Travel & Client Servicing

  • Manage end-to-end corporate travel arrangements, including transfers, accommodation, meetings, and travel policy compliance.
  • Provide timely responses to client inquiries, last-minute changes, and emergency travel support.
  • Maintain strong professional relationships with corporate accounts, ensuring consistent service delivery and satisfaction.
  • Support reporting needs such as travel summaries, cost tracking, and MIS data where required.

Operations & Coordination

  • Liaise with regional and international suppliers to ensure smooth execution of itineraries.
  • Coordinate group travel logistics, including rooming lists, transport manifests, and tour leader briefings.
  • Ensure all travel documentation (vouchers, tickets, itineraries, insurance, and entry requirements) is accurate and issued on time.
  • Stay updated on destination requirements, travel advisories, airline policies, and tourism trends.

Administration & Compliance

  • Maintain accurate records of bookings, payments, client profiles, and travel history.
  • Ensure adherence to company SOPs, service standards, and financial controls.
  • Support invoicing, reconciliations, and supplier payments in coordination with finance.

Requirements

  • Proven experience in travel and tour coordination within East Africa and international markets.
  • Strong destination knowledge covering safaris, coastal tourism, regional circuits, and global travel routes.
  • Proficiency in Amadeus or similar GDS systems, including ticket reissues and fare recalculations.
  • Demonstrated experience in itinerary design, costing, and supplier coordination.
  • Excellent organizational, multitasking, and time-management skills, with a proven ability to achieve monthly departmental targets while delivering exceptional service.
  • Strong written and verbal communication with high client-service orientation.
  • Ability to work under pressure, manage urgent requests, and handle last-minute itinerary changes.
  • Experience in visa facilitation and travel documentation processes is an added advantage.
  • Professional, proactive, and customer-centric mindset.

Preferred Qualifications

  • Diploma or degree in Travel & Tourism, Hospitality Management, or a related field.
  • Experience managing corporate travel accounts and group travel operations.
  • Knowledge of travel insurance, duty of care practices, and global distribution trends in the travel industry.
