Job Summary
The Executive Assistant will serve as a trusted partner to the CEO, providing executive, administrative, and strategic support while ensuring seamless coordination between the CEO, Board of Directors, Senior Leadership Team, and key external stakeholders. The successful candidate will play a critical role in enhancing executive effectiveness, supporting governance processes, and driving accountability across the organisation.
Key Responsibilities
Executive Office Management
- Manage and coordinate the CEO’s calendar, meetings, appointments and travel schedules.
- Prioritise competing demands and ensure efficient management of the CEO’s time.
- Prepare meeting agendas, briefing materials, and executive correspondence.
- Track action items and ensure timely follow-up and execution.
Board Governance & Reporting
- Coordinate Board and Committee meetings.
- Prepare and distribute Board packs and supporting documentation.
- Record and circulate Board minutes and resolutions.
- Track Board action items and management commitments.
- Maintain confidential Board records and governance documentation.
Senior Leadership Team Coordination
- Coordinate Executive Committee and Senior Leadership Team meetings.
- Consolidate reports and presentations for CEO review.
- Follow up on strategic initiatives and organisational priorities.
- Monitor progress against agreed deliverables and deadlines.
Strategic & Project Support
- Assist in coordinating strategic initiatives and special projects.
- Prepare executive reports, dashboards, presentations, and briefing papers.
- Conduct research and analysis to support business decision-making.
Stakeholder Management
- Act as a key liaison between the CEO and internal and external stakeholders.
- Maintain strong relationships with Board members, business partners, suppliers, and senior leaders.
- Ensure timely and professional communication on behalf of the CEO.
Confidentiality & Governance
- Handle highly sensitive and confidential information with discretion.
- Uphold corporate governance standards and organisational policies.
- Maintain secure records and documentation.
Qualifications
- Bachelor’s degree in business administration, Corporate Governance, Communications, Human Resources, Finance, Law, or a related field.
- Minimum 5–8 years’ experience supporting a CEO, Managing Director, Executive Director, or other C-Suite Executive.
- Demonstrated experience managing Board processes and executive governance.
- Strong experience in report writing, presentation development, and executive communication.
- Advanced proficiency in Microsoft Office Suite, particularly PowerPoint, Excel, and Word.
