Job Purpose
The Personnel/Administrative Assistant will provide comprehensive administrative and human resource support services to ensure efficient day-to-day operations within the designated department or unit. The role supports staff administration, records management, and coordination of office activities.
Key Responsibilities
- Provide administrative support to the department, including preparation of correspondence, reports, and official documentation.
- Maintain accurate personnel records, ensuring confidentiality and proper filing of employee information.
- Assist in processing staff documentation such as leave applications, confirmations, transfers, and contract renewals.
- Coordinate meetings, prepare minutes, and follow up on action points.
- Support recruitment processes by organizing interview schedules, receiving applications, and maintaining recruitment records.
- Manage office supplies and coordinate procurement requests in line with internal procedures.
- Handle incoming and outgoing correspondence, ensuring timely response and routing.
- Support compliance with university administrative policies and procedures.
- Maintain updated databases and electronic records systems.
- Perform any other administrative duties as assigned by the supervisor.
