The Total Rewards Analyst is responsible for the accurate and timely administration of the organization’s compensation and benefits programs for all staff and Financial Advisors across the Group. The role combines analytical depth in reward data, FA commission and variable pay administration, benefits scheme management, and multi-jurisdiction statutory compliance with a strong orientation toward data quality and process improvement. The Analyst works under the oversight of the Total Rewards Supervisor, owning benefits administration, FA remuneration analysis, statutory compliance monitoring, and compensation analytics and operates as the primary maker in the payroll internal controls framework, preparing all compensation variation data, FA remuneration inputs, and payment files for the Supervisor’s independent review and approval.

Key Responsibilities:

Compensation Administration & Analytics

  • Support the implementation of the Group Reward Strategy translating approved salary increments, promotions, and structural pay changes into accurate payroll inputs across all entities.
  • Prepare all compensation variation data salary changes, promotions, bonus inputs, benefit deduction amendments for each payroll cycle, and validate all variation data against authorized source documents before submission to the Supervisor.
  • Conduct salary benchmarking analysis using market survey data; prepare comparison reports to support HRBP advisory conversations and compensation review recommendations.
  • Administer the annual performance-linked pay framework; prepare monthly payroll variance analysis.
  • Conduct loan eligibility analysis; monitor the staff and FA loan book; prepare monthly IFRS 17 data for Finance handover.

FA Remuneration Administration 

  • Administer the FA commission and variable pay computation cycle, loading and validating monthly commission files.
  • Conduct system audits on commission calculations before Supervisor approval.
  • Administer the FA subsidy framework, cashier bonds, and FA loan and mortgage schemes, processing applications, maintaining the register, computing monthly deductions, and preparing out-of-payroll payment files for Supervisor approval.
  • Prepare monthly FA remuneration reports; serve as the primary point of contact for the FA Operations team and distribution network on FA compensation queries, escalating to the Supervisor where policy interpretation is required.

Benefits Program Administration

  • Administer all staff benefit schemes, medical insurance (inpatient and outpatient), group life, GPA/WIBA, pension, SACCO, and staff loans, including enrolment changes, deduction reconciliations, and vendor coordination.
  • Conduct monthly benefit scheme reconciliations, verifying that all active staff and eligible FAs are correctly enrolled and that deduction amounts match vendor records; submit reconciliation reports to the Supervisor.
  • Coordinate outpatient account funding, raising procurement requests, receiving LPOs, generating GRN numbers, and sharing payment documentation with Finance per the established process.
  • Process medical refund claims for contract staff and eligible FAs, reviewing validity, preparing payment files, and routing for Supervisor approval before submission to Finance.
  • Review the accuracy and completeness of the annual P9 and W44 distribution prepared and issued by the Total Rewards Associate; resolve tax deduction queries escalated where the answer requires interpretation beyond routine administration.
  • Support benefit awareness campaigns, preparing content on staff and FA benefit entitlements and presenting to employee audiences as directed by the Supervisor.

Multi-Jurisdiction Statutory Compliance

  • Own overall statutory compliance risk across all Group jurisdictions, covering PAYE, NSSF, NHIF/SHIF, HELB, Housing Levy, NITA, FBT, and withholding tax as applicable in each country, while the Total Rewards Associate executes routine, single-jurisdiction filing and certificate administration.
  • Prepare monthly statutory payment schedules for the Supervisor’s review and approval before submission to Finance.
  • Review statutory return filings and certificate-currency tracking prepared and maintained by the Total Rewards Associate ahead of each regulatory deadline; escalate any jurisdictional, multi-entity, or interpretation risk to the Supervisor rather than re-performing the filing directly.
  • Track regulatory changes across all jurisdictions and prepare impact assessments for the Supervisor’s review; direct the Associate on implementing approved payroll or policy adjustments arising from those changes.
  • Resolve KRA PIN verification and SHIF card contribution queries escalated by the Total Rewards Associate where investigation or liaison with the relevant authority requires judgement beyond routine follow-up.

Payroll Processing Support

  • Support the monthly payroll processing cycle, receiving and validating complex variation data inputs from stakeholders, uploading approved changes to the payroll ERP, and performing pre-payroll sense checks.
  • Prepare and validate out-of-payroll payment files for Supervisor approval.
  • Contribute to the post-payroll process, extracting GL entries, identifying reconciling items, and preparing the payroll-to-GL reconciliation for Supervisor review. 
  • Prepare scheduled reward reports on time and to agreed formats — HR Master Data, IRA, loans, commission production, and budget utilization.
  • Maintain accurate compensation and benefits data in HRIS; conduct monthly data quality checks.
  • Respond to ad hoc reward data requests within agreed turnaround times.
  • Ensure all payroll and reward records are fully signed off and stored per the records retention policy.
  • Any other duties that may be assigned from time to time.

Knowledge, experience, and qualifications required:

Minimum Requirements:

  • Bachelor’s Degree in Human Resources, Finance, Business Administration, or a related field.
  • Professional qualification in HR, Reward, or Finance (e.g. IHRM, CIPD, CPA, or equivalent).
  • A minimum of 3–5 years’ progressive experience in compensation and benefits, payroll administration, reward analytics, ideally within a multi-jurisdiction or shared-services environment.
  • Demonstrated experience with HRIS payroll and compensation modules; advanced Excel proficiency for payroll modelling and variance analysis.
  • Working knowledge of statutory compliance frameworks (PAYE, NSSF, SHIF, and equivalents) across the Group’s operating jurisdictions.
  • Exposure to FA/agency remuneration structures is an advantage, given the role’s companywide FA channel coverage.
