Our client, a leading distributor in the food and beverage ingredients industry, is seeking a highly organized and results-driven Procurement and Supply Chain Officer to oversee procurement operations, inventory management, warehousing, logistics coordination, and overall supply chain efficiency. The ideal candidate will be responsible for ensuring timely sourcing of products and supplies, maintaining optimal inventory levels, coordinating warehousing and distribution activities, and ensuring compliance with regulatory and quality standards while supporting operational efficiency and cost optimization.
Key Responsibilities
Procurement & Supplier Management
- Source food and beverage ingredients, packaging materials, and operational supplies from approved and new suppliers.
- Obtain quotations, evaluate suppliers, negotiate prices, and prepare comparative analyses.
- Raise purchase orders and ensure timely replenishment of inventory.
- Monitor supplier performance on quality, pricing, lead times, and service delivery.
- Maintain proper procurement records and documentation.
- Ensure procurement activities comply with company procurement policies and procedures.
- Develop and maintain strategic relationships with local and international suppliers.
- Monitor market trends, commodity pricing, and supply risks.
Inventory Management
- Maintain optimal stock levels to prevent stock-outs and overstocking.
- Monitor inventory movement using ERP or inventory management systems.
- Conduct regular stock reconciliations and cycle counts.
- Ensure FEFO/FIFO inventory management practices are adhered to.
- Monitor expiry dates and minimize product losses or obsolescence.
- Investigate and resolve inventory variances promptly.
Warehousing Operations
- Supervise receiving, storage, picking, packing, and dispatch operations.
- Ensure proper storage conditions for products, including temperature-sensitive items where applicable.
- Maintain warehouse cleanliness, organization, and safety standards.
- Ensure compliance with food safety, hygiene, and quality standards.
- Coordinate periodic warehouse audits and stock takes.
- Ensure accurate documentation for inbound and outbound stock movements.
Logistics & Distribution
- Coordinate deliveries to customers within agreed timelines.
- Plan and optimize transport routes and distribution schedules.
- Liaise with transporters, clearing agents, and logistics service providers.
- Monitor fuel usage, vehicle utilization, and transportation costs.
- Track shipments and resolve delivery issues promptly.
- Ensure all delivery documentation is properly completed and filed.
Supply Chain Coordination
- Coordinate demand planning and replenishment activities with sales and operations teams.
- Monitor supply chain performance and identify operational bottlenecks.
- Support importation, customs clearance, and regulatory documentation processes where applicable.
- Develop initiatives to improve efficiency, reduce costs, and enhance service delivery.
- Prepare operational and inventory reports for management.
Compliance, Quality & Safety
- Ensure compliance with:
- Kenya Bureau of Standards (KEBS) requirements
- Public Health regulations
- Food safety standards
- Occupational Safety and Health (OSH) requirements
- Ensure proper handling and storage of food-grade materials.
- Participate in internal and external audits.
- Maintain accurate records for traceability and compliance purposes.
Qualifications
- Bachelor’s Degree in:
- Procurement & Supply Chain Management
- Logistics
- Business Administration
- Operations Management or a related field
- Professional qualifications such as CIPS, KISM, or CPSP-K will be an added advantage.
- Minimum 2–5 years’ experience in procurement, warehousing, logistics, or supply chain operations.
- Experience in the food & beverage, FMCG, or ingredients distribution industry is preferred.
- Proficiency in ERP systems and Microsoft Office applications.
- Knowledge of import/export logistics will be an added advantage.
- Must have a passport
