Member Associations Officer role at CECAFA, coordinating communication and support with Member Associations. Requires a Bachelor’s degree in Business Administration, Management, or related field with 3+ years’ experience in executive coordination, stakeholder relations, or sports administration. Responsibilities
Support the Executive Director’s Office in ensuring effective coordination, communication and follow up with CECAFA Member Associations and across the Secretariat, while providing high quality executive and institutional support on matters requiring the attention of the Executive Director.
The position reports to the Executive Director.
- Serve as a key coordination point between the Executive Director’s Office and CECAFA Member Associations, ensuring effective and timely communication and follow up.
- Coordinate official correspondence, circulars, requests, submissions and other communication involving Member Associations, while maintaining accurate and up to date institutional contact records.
- Maintain an effective system for tracking decisions, instructions, commitments, deadlines and outstanding actions arising from the Executive Director’s Office and Member Association engagements.
- Prepare briefing notes, meeting files, background information, presentations, correspondence and other documentation required by the Executive Director.
- Support the coordination and preparation of the Executive Director’s official meetings, ensuring that relevant information, documentation and action points are properly managed.
- Coordinate information and submissions required from Member Associations for CECAFA programmes, meetings and institutional activities and ensure timely follow up on outstanding matters.
- Liaise with CECAFA departments to ensure matters involving Member Associations are properly coordinated, communicated and followed through without unnecessary duplication.
- Identify urgent, sensitive or outstanding matters requiring management attention and provide regular updates to the Executive Director on progress and required action.
- Maintain organised and confidential records and carry out any other related responsibilities assigned by the Executive Director.
Requirements and Candidate Profile
- Bachelor’s degree in Business Administration, Management, International Relations, Sports Management, Public Administration, Communications or another relevant field.
- A minimum of three years of relevant professional experience in executive coordination, administration, stakeholder relations, sports administration, institutional affairs or a related field.
- Experience supporting senior management or working within an executive office, football association, sports organisation, regional or international organisation will be an added advantage.
- Demonstrated ability to coordinate correspondence, meetings, deadlines, action points and multiple stakeholders effectively.
- Excellent organisational and time management skills, with strong attention to detail and the ability to maintain consistent follow up.
- Excellent written and verbal communication skills, including the ability to prepare professional correspondence, briefing notes, reports and meeting documentation.
- Strong interpersonal and diplomatic skills, with the ability to engage professionally and confidently with senior football administrators and other stakeholders.
- High level of integrity, confidentiality, discretion and professional judgment, including the ability to identify and appropriately escalate urgent or sensitive matters.
- Strong command of Microsoft Office and relevant administrative and communication tools. Knowledge of football administration and the CECAFA region will be an added advantage.
- Fluency in written and spoken English is required. Knowledge of other languages used within the CECAFA region will be an added advantage.
