Role Overview

We are seeking a hands-on HR Associate to provide day-to-day HR and people support for a growing restaurant business. This part-time role (50% FTE) is ideal for an HR generalist with 2-3 years of experience, preferably in a hospitality or service-driven environment.

The role focuses on employee lifecycle management, HR operations, and basic people & culture initiatives to ensure a positive employee experience and compliance with Kenyan labour laws.

HR Operations & Compliance

  • Support end-to-end employee lifecycle processes, including hiring documentation, onboarding, probation tracking, and offboarding
  • Prepare and maintain employee files, contracts, HR letters, and statutory records in line with the Employment Act, 2007
  • Track attendance, shifts, leave, and overtime for hourly restaurant staff
  • Support payroll preparation by validating attendance, leave days, and employee changes
  • Assist with statutory compliance, including NSSF, NHIF, PAYE, and WIBA documentation
  • Ensure HR policies and procedures are applied fairly and consistently

Employee Relations & Discipline

  • Act as the first point of contact for employee HR questions and concerns
  • Support supervisors and management in handling routine employee relations matters such as lateness, absenteeism, misconduct, and performance issues
  • Assist with disciplinary processes, including issuing notices, scheduling hearings, documenting outcomes, and filing records
  • Support investigations and documentation for employee relations issues, escalating complex matters when required
  • Manage exit processes, including clearance, exit interviews, and final documentation

Recruitment & Onboarding

  • Support recruitment for restaurant roles (cooks, pizza chefs, service staff, cleaners) by scheduling interviews and coordinating communication
  • Prepare employment contracts and onboarding documents for new hires
  • Coordinate basic induction and ensure employees understand workplace rules, health and safety, and company expectations

Health, Safety & Employee Engagement

  • Support compliance with occupational health and safety requirements relevant to food service operations
  • Assist in coordinating simple employee engagement activities such as team meetings and recognition moments
  • Maintain regular on-site presence to support staff and management

Administration & Reporting

  • Maintain HR trackers and basic HR systems
  • Prepare simple HR reports on headcount, turnover, absenteeism, and disciplinary cases
  • Manage HR email and phone inquiries with professionalism and confidentiality
  • Support creation and maintenance of basic HR SOPs and templates
  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • 2-3 years’ experience in an HR support or HR generalist role
  • Experience in hospitality, restaurants, retail, or other service-based environments is highly preferred
  • Working knowledge of Kenyan labour laws and statutory requirements
  • Membership or eligibility for membership with IHRM is an added advantage

  • Strong organizational and administrative skills with good attention to detail
  • Practical understanding of employee discipline and basic employee relations
  • Good communication skills and the ability to interact with frontline staff and supervisors
  • High level of integrity and ability to handle confidential information
  • Ability to work independently in a part-time role and manage priorities
  • Proficient in Microsoft Word and Excel; comfortable using basic HR trackers
  • Hands-on, flexible, and willing to support restaurant operations as needed
