The Role

This is a flexible full-time or part-time, hybrid role for an Executive Assistant at Peponi’s located in Nairobi. You’ll work directly with the directors – managing their schedules, handling correspondence, and keeping things moving – while also taking ownership of our people operations and general admin as we grow.

We want someone sharp, ambitious, and trustworthy. Someone who represents integrity through and through, anticipates what’s needed, handles sensitive matters with discretion, and communicates with clarity. HR experience and experience working with international organizations is a strong plus.

Responsibilities

  • Manage directors’ calendars, appointments, and scheduling
  • Handle correspondence, emails, and communications on behalf of the directors
  • Prepare documents, reports, and meeting materials as needed
  • Coordinate travel, bookings, and logistics
  • Anticipate needs and keep the directors focused on what matters most
  • Support recruitment – posting jobs, scheduling interviews, and coordinating with candidates
  • Run onboarding for new staff – contracts, documentation, orientation, and first-week check-ins
  • Maintain accurate employee records, personnel files, and HR documentation
  • Handle leave requests, attendance tracking, and scheduling coordination
  • Support payroll preparation with accurate timesheets and documentation
  • Be a first point of contact for staff concerns and escalate issues appropriately
  • Help ensure compliance with Kenyan labour laws and internal policies
  • Manage general office admin – supplies, filing, and day-to-day tasks

Qualifications

  • Integrity and discretion – you handle confidential matters with care
  • Strong organizational skills – you keep clean records and follow through on details
  • Proactive mindset – you anticipate needs rather than wait to be asked
  • Experience supporting senior leadership, directors, or executives preferred
  • Experience working with international organizations is a plus
  • Ambitious – you want to grow with a fast-moving company
  • Experience in HR or people operations is a strong plus
  • Familiarity with Kenyan labour laws and employment practices is a plus
  • Comfortable with spreadsheets, documentation, and calendar management
  • Strong communication skills – written and verbal
  • Ability to stay calm and professional when juggling multiple priorities
  • Flexibility to adapt to the demands of a fast-growing business
