Role Summary
The Office Assistant supports day-to-day office operations by maintaining cleanliness, workplace upkeep, hospitality, logistical support, and external operational tasks. The role contributes to a safe, organized, and professional work environment in line with company policies.
Key Responsibilities
Facility Maintenance & Cleaning
- Carry out daily cleaning duties to maintain a clean, orderly, and hygienic office environment.
- Ensure daily upkeep of office cleanliness, including tidying, emptying trash bins, and sanitizing high-touch surfaces.
- Perform weekly deep cleaning of shared and high-use areas, including offices, meeting rooms, kitchen areas, and restrooms.
- Monitor cleaning materials and restock supplies or report low stock levels for replenishment.
- Ensure proper disposal of waste.
Exterior Maintenance
- Assist in maintaining cleanliness and aesthetics of the office compound, including entrances, walkways, parking areas, lawns, hedges, and fences.
- Support coordination of external service providers responsible for landscaping and compound maintenance.
- Report any visible structural defects, landscaping issues, safety hazards, or maintenance concerns to the supervisor or operations office.
Office Security & Safety Support
- Open and close the office premises at designated times as instructed by management.
- Ensure doors, windows, and office equipment are properly secured at the end of the working day.
- Ensure that all lights, sockets, and electrical appliances are switched off when not in use and upon closing the office premises.
- Promptly report any security or safety concerns to the supervisor.
Office Hospitality & Support Services
- Support hospitality needs during meetings and internal office events.
- Maintain cleanliness and hygiene of the kitchen and refreshment areas.
- Prepare tea and refreshments for staff and visitors as required.
Logistics & Errands
- Assist with the collection and delivery of office documents, supplies, parcels, and other office-related items as assigned.
- Carry out staff errands, including supply pickups and courier services, during working hours and in line with company policies.
- Support office relocations, workspace reconfigurations, event setups, and basic office setup activities such as arranging meeting rooms or moving light office items.
Perform any other reasonable duties related to office operations as may be assigned by the supervisor from time to time.
Qualifications
- High school diploma or equivalent.
- Certification in facility maintenance, OSHA safety, or related training will be an added advantage.
- 1+ years in facility maintenance, janitorial work, or operations support.
- Hands-on experience with cleaning equipment and supplies.
- Strong communication, interpersonal, and time management skills.
- Reliability and attention to detail
