Job Purpose:
The Sales Manager plays a crucial role in supporting the Senior Sales & Marketing Manager in driving sales, maintaining agent relationships, and coordinating with the reservations and operations teams. The role involves tracking and managing bookings through Opera Cloud, assisting with trade partner engagement, preparing sales reports, and helping to grow the camp’s market presence across regional and international markets.
This position is ideal for a highly organized, driven, and service-oriented individual with a passion for the luxury safari industry and has a good understanding of the leisure market in Kenya.
Key Responsibilities:
Sales Support & Coordination
- Support the Senior Sales & Marketing Manager in executing the annual sales strategy.
- Respond to agent inquiries, prepare quotations, and ensure timely follow-up on leads.
- Manage and update agent and client databases, rate sheets, and contact lists.
- Coordinate the distribution of marketing materials, rate updates, and special offers to partners.
Reservations Collaboration & Opera Cloud Use
- Assist in monitoring and verifying bookings in Opera Cloud.
- Liaise with the Reservations Manager to confirm availability, track conversion rates, and ensure rate accuracy.
- Support with manual reservation entries or modifications during high-traffic periods.
- Help manage allocations and block bookings for trade partners and special events.
Trade & Partner Relations
- Communicate professionally with travel agents, and DMCs.
- Track and organize agent productivity reports.
- Assist in organizing and hosting familiarization (FAM) trips, site inspections, and trade visits.
- Represent the lodge in support roles during local trade shows and partner presentations.
Sales Reporting & Data Management
- Compile weekly and monthly sales reports on:
- Booking trends
- Source markets
- Agent performance
- Enquiry-to-booking conversion
- Track rate code usage and flag discrepancies in Opera Cloud.
- Maintain well-organized digital filing systems for all sales-related documents.
Marketing Support (as directed by Senior Sales & Marketing Manager)
- Coordinate requests between the outsourced marketing agency and internal team.
- Monitor social media mentions and guest feedback for brand consistency.
- Assist in gathering content or client feedback to support marketing storytelling and promotions.
Requirements:
Education & Experience:
- Diploma or degree in Sales, Hospitality, Tourism, Business, or a related field.
- 2–4 years of experience in a sales, reservations, or guest services role in the hospitality sector.
- Working knowledge of Opera Cloud PMS or similar property/reservation systems is essential.
Skills:
- Strong interpersonal and communication skills (written and verbal).
- Detail-oriented, proactive, and highly organized.
- Competent in MS Office (Word, Excel, Outlook) and CRM systems.
- Capable of handling multiple tasks and deadlines efficiently.
- Customer service mindset with a positive attitude.
Desirable:
- Previous experience in a safari lodge or luxury eco-tourism environment.
- Familiarity with key travel markets (e.g., Europe, USA, Kenya domestic).
- Basic design or content skills (e.g., Canva, PowerPoint) are a plus.
Work Conditions:
- Nairobi-based with occasional travel to the Masai Mara and regional offices.
- Must be willing to work flexible hours, especially during peak seasons or trade events.
