Procurement & Logistics Coordinator Job Pioneer Insurance Nairobi, Kenya
The Procurement & Logistics Coordinator will drive efficient procurement and logistics operations by ensuring the timely, cost-effective sourcing of goods and services while maintaining compliance with company policies and procedures. The role will oversee supplier management, inventory control, logistics coordination, and branch administrative support to ensure seamless business operations and operational excellence across the organization.
Key Responsibilities
- Coordinate procurement and supply chain activities to ensure efficient and compliant purchasing processes.
- Receive, verify, and process purchase requisitions, ensuring adherence to procurement policies, budgets, and approval procedures.
- Source quotations from approved suppliers, prepare comparative analyses, and support the issuance of purchase and service orders.
- Ensure timely receipt, inspection, quality verification, and documentation of all procured goods and services.
- Maintain accurate supplier records, procurement documentation, contracts, and statutory reports in the ERP system.
- Prepare procurement-related correspondence, reports, and internal communications.
- Manage inventory levels, monitor stock movements, and coordinate timely replenishment of office supplies and stationery.
- Support stock-taking, asset verification, inventory audits, and ensure company assets are appropriately tagged and recorded.
- Coordinate the distribution of supplies to head office and branch offices within agreed timelines.
- Oversee the maintenance of office equipment, furniture, and facilities, including warranty management and repairs.
- Coordinate courier, mail, and stationery dispatch to branch offices while maintaining proper records.
- Administer branch operational requirements, including office rent, utility payments, business licences, and lease agreement renewals.
- Maintain accurate records of branch documentation and ensure compliance with administrative requirements.
- Perform any other duties assigned by management in support of procurement and administrative operations.
Qualifications
- Bachelor’s degree in finance, Supply Chain, Procurement, Operations, or a related field is required.
- Professional Diploma in Procurement, Purchasing and Supplies Management, Logistics or its equivalent
EXPERIENCE
- Minimum 3 years of experience in a procurement or supply chain role
- Practical experience with procurement processes, LPO management, and supplier engagement
- Experience in an administrative support role is an added advantage
