Job Summary
The Pharmaceutical Technologist is responsible for dispensing and managing medicines and ophthalmic supplies under the supervision of a pharmacist. The role involves handling specialized eye medications including eye drops, injections, and surgical drugs, while ensuring proper storage conditions such as cold-chain management. The position supports clinical teams through accurate dispensing, patient counseling, and data management, while maintaining high standards of inventory control and regulatory compliance.
Key Responsibilities
Dispensing and Patient Care
- Receive, interpret, and accurately dispense prescriptions for outpatients, inpatients, and theatre cases
- Counsel patients on proper use of medications, including eye drops (dosage, frequency, storage, side effects, and adherence)
- Prepare extemporaneous ophthalmic preparations, such as fortified antibiotics, where licensed
- Dispense controlled drugs and maintain required registers in compliance with Pharmacy and Poisons Board (PPB) regulations
- Identify and flag potential drug interactions, contraindications, and allergies to prescribers prior to dispensing
- Respond to patient queries regarding medications and escalate complex cases to the supervising pharmacist
Inventory and Supply Chain Management
- Receive, verify, and record pharmaceutical supplies against delivery documentation
- Store medicines according to manufacturer guidelines, including maintaining cold-chain requirements (2–8°C) and appropriate environmental conditions
- Monitor stock levels and expiry dates, implementing FEFO/FIFO principles to minimize wastage
- Conduct regular physical stock counts and reconcile with pharmacy systems or EMR records
- Initiate purchase requisitions to maintain optimal stock levels and prevent stock-outs
- Manage ward and theatre imprest systems, including emergency medication trays
Quality Assurance and Compliance
- Ensure all dispensing practices comply with PPB regulations and hospital standard operating procedures
- Maintain accurate temperature logs for refrigerators and storage areas on a daily basis
- Identify, quarantine, and report suspected substandard or counterfeit medicines
- Manage pharmaceutical waste and expired drugs in accordance with NEMA and PPB guidelines
- Participate in antimicrobial stewardship initiatives and rational drug use audits
Monitoring, Evaluation, and Reporting
- Accurately capture dispensing data in the pharmacy system or EMR on a daily basis
- Prepare monthly reports on drug consumption, fast- and slow-moving items, and expiry risks
- Submit required reports (e.g., MOH 747 and other pharmacy returns) within set timelines
- Monitor key indicators such as stock-out rates, generic prescribing trends, and adverse drug reaction (ADR) reporting
- Support clinical audits and data requests related to medication usage
Administrative Responsibilities
- Supervise pharmacy assistants and interns where applicable
- Maintain cleanliness, organization, and proper layout of the dispensary
- Participate in Continuing Medical Education (CME), Continuous Professional Development (CPD), and departmental meetings
Qualifications
- Diploma in Pharmaceutical Technology from a Pharmacy and Poisons Board (PPB)-approved institution
- Valid registration and current practicing license with the Pharmacy and Poisons Board (PPB)
- Experience in ophthalmic pharmacy practice (Preferred)
- Proficiency in pharmacy management systems, Microsoft Excel, and inventory management tools
