Our client is a training institution on digital programs and is seeking a highly organized and proactive Operations Lead to oversee and manage the operational aspects of the company’s digital skills training program. The ideal candidate will be responsible for ensuring the smooth execution of training sessions, workshops, and events while maintaining efficiency and compliance with policies and regulations.

Operational Management

  • Lead and oversee all operational aspects of the program, ensuring seamless execution of training sessions, workshops, and events.
  • Develop and implement efficient processes and procedures to enhance program effectiveness.
  • Ensure strict adherence to organizational procedures and government regulations in all operational activities.
  • Support the Finance and Procurement Manager in upholding policies and ensuring value for money on items such as projectors, equipment, branded materials, and other program essentials.
  • Assist in bookkeeping and maintaining financial records, including Terms of Reference (TORs), invoices, vendor receipts, and delivery notes, ensuring full compliance with internal regulations.
  • Support staff engagement operations, including clearance of work tools and staff welfare.

Logistics Coordination

  • Coordinate logistics for training sessions, workshops, and events, including venue arrangements, equipment setup, and transportation.
  • Liaise with internal teams and external vendors to procure necessary resources for program activities.

Facilitation Support

  • Provide support in facilitating training sessions and workshops, ensuring a conducive learning environment for participants.
  • Assist trainers and facilitators in delivering content effectively, addressing participant queries, and managing group dynamics.

Customer Service

  • Serve as the primary point of contact for program participants, addressing inquiries, concerns, and feedback in a timely and professional manner.
  • Proactively engage with participants to enhance their overall experience.

Events Management

  • Plan, organize, and coordinate program events, including orientations, networking sessions, and graduation ceremonies.
  • Manage event logistics, including venue selection, catering, audiovisual setup, and guest coordination.

Stakeholder Engagement

  • Build and maintain positive relationships with stakeholders, collaborators, and partners.
  • Collaborate with internal and external stakeholders to coordinate program activities, share best practices, and address challenges.
  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • Minimum 2-3 years’ experience in operations management, event planning, or logistics coordination.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
