Job Purpose

To ensure all revenues generated from the various hotel outlets are accurate, properly reconciled and accounted for.

Key Responsibilities

• Check debtors, advance deposits and mpesa and credit card transfer invoices to ensure they are accurate and have all the relevant backups and related payments.
• Importing revenue file from Protel Air to Sun systems daily and ensuring that no transactions are posted to the suspense account.
• Prepare Daily Sales Summary Report, ensuring all data including statistics is accurate and distribute it to management by set deadline.
• Prepare daily output VAT reconciliations comparing output VAT in Protel, Islez and Sun Systems against VAT submitted to KRA via e tims comparing this to sales to ensure output VAT is calculated and transmitted accurately.
• Prepare daily deposit ledger movement reports, make necessary adjustments in Sun systems and ensure deposits utilized are allocated on a daily basis.
• Confirm extra float claimable by the General Cashier and ensure floats held by outlet cashiers are intact.
• Maintain a log on unusual transactions in Protel Air and alert IT department as well as the asst. FC and Financial Controller
• Prepare and circulate reconciliations of rooms occupied comparing housekeeper reports and guest in house as per Protel using the relevant reports
• Ensure all relevant revenue is well captured and accounted for e.g. No shows, room upgrades, rates checks, cancellation charges and query relevant sections in case of detected gaps.
• Monitor and review and ensure proper authorization of all complimentaries, rebates, voids, discounts and any other adjustments against revenues on a daily basis and circulate reports in respect to the adjustments.
• Review all refunds and rebates prior to presenting the documentation to the asst. FC and Financial controller for approval and maintain a file of these records.
• Monitor and review room rates, number of rooms available, out of order rooms, number of covers per outlet, popularity indexes as well as prepare daily reports for circulation to relevant departments.
• Perform daily spot checks in all revenue outlets including golf and spa to ensure all bills are raised and revenues are posted accurately.
• Ensure selling prices in Iselz and room rates in Protel Air are accurate for all items as well as taxes and other statutory deductions, (service charge and catering levy) are properly configured.
• Update exchange rates in ProtelAir and Islez as communicated and maintain a file/records of all the rate print outs.
• Ensure a proper and internal strong control environment in all revenue centers being Front office, F&B outlets, water sports, rental arcade, golf and spa.
