Christian Health Association of Kenya is seeking to hire an experienced Grants Officer with expertise in finance and grants management to be based in Nairobi supporting the CDC-funded CHAP Stawisha project. The project supports HIV/TB/OVC services in faith based and county health facilities across 15 counties, with offices in Meru, Embu, Kitui and Nairobi. The job holder is responsible for ensuring successful financial implementation of grants funded by a variety of funders. This will be achieved through establishing and implementing financial best practices, providing technical support, managing subcontracts and building staff capacity to ensure compliance with contractual and donor regulations.

  • Participate in planning and implementing continuous risk assessment activities.
  • Conduct regular reviews to assess needs, approve partners budget realignments, and reprogram resources in line with financial projections, organizational policies, and donor guidelines.
  • Ensure timely processing and disbursement of resources to implementing partners.
  • Support partners in funding applications (RFA), continuation applications, sub-grant processing, and sub-award management, including pre-award assessments, contracting, and transitions.
  • Prepare periodic reports to support decision-making processes.
  • Coordinate and monitor site performance, including target dissemination, performance reviews, improvement plans, donor joint system improvement monitoring (SIM), technical assistance (TA) reviews, and asset verification.
  • Provide comprehensive budget implementation oversight by conducting monthly burn rate analyses, needs assessments, and approvals for budget modifications or resource reprogramming.
  • Collaborate closely with partner project coordinators to ensure timely implementation of activities, proper utilization of resources, and adherence to work plans, including grant management reporting and compliance.
  • Work closely with Project Grants and Finance Management to build capacity and provide technical support to implementing sites on planning, resource management, audits, and compliance with organizational and donor regulations.
  • Serve as the primary communication focal point for implementing sites, maintaining open lines of communication and fostering mutual relationships.
  • Support site human resource management by ensuring the right skill mix and workforce quantities during recruitment to enhance the delivery of quality health services.
  • Assist in the preparation of sub-award agreements, MOUs, amendments, and other contractual documents in collaboration with Project Grants and Finance Management.
  • Provide oversight for financial reporting, ensuring accuracy, completeness, and timely submission by implementing partners.
  • Plan and support external audits, review findings, implement corrective actions, and oversee the project and partner close-out processes.
  • Journalize partner expenses monthly to ensure financial records are up-to-date and accurate.
  • Continuously provide grants management support and technical assistance to implementing partners throughout the project lifecycle.
  • Support project management in planning and executing project closeout activities.
  • Perform any other duties assigned by the management team.

  • Bachelor’s degree in finance or a related field
  • Certified Public Accountant (CPA) or an equivalent current certification
  • Three years’ of experience working in a finance and grants office, managing multiple projects simultaneously
  • Proficiency in financial software applications (experience with Nav 365 and QuickBooks is a plus)
  • Knowledge of U.S. Federal Regulations (2 CFR Part 200 $ 45 CFR Part 75) is an added advantage
  • Desired skills, knowledge and abilities
  • Proven competence in budget development and sub-award management
  • Strong analytical and report writing skills, with the ability to prepare clear, concise, and accurate financial reports and documentation
  • Ability to anticipate, prioritize and manage multiple tasks with keen attention to detail and capability to follow-through and meet deadlines
  • Excellent organizational and communication skills
