Our client is one of the leading motorcycle dealers in Kenya, seeking to hire a Service Administrator. The Service Administrator is responsible for coordinating, scheduling, and supporting all service-related activities within the organization. This role ensures that service operations run smoothly by handling customer requests, managing service documentation, updating systems, and supporting service technicians and management.

  • Schedule and dispatch service technicians for onsite or remote support.
  • Track service jobs from initiation to completion.
  • Communicate with customers regarding job updates, delays, and required documentation.
  • Prepare service invoices, quotations, and job cards.
  • Maintain accurate records of service reports and warranty claims.
  • Capture service traffic data.
  • Respond to customer inquiries by phone, email.
  • Follow up on pending service work and customer feedback.
  • Escalate customer issues to management when necessary
  • Assist with inventory management for spare parts and special tools.
  • Coordinate service contracts, renewals, and annual maintenance agreements.
  • Support technicians with logistics, documentation, and parts availability.
  • Prepare weekly/monthly service performance reports.
  • Track KPIs such as response times, job completion, and customer satisfaction. Maintain compliance with internal processes and industry standards.

  • A diploma in Automotive/ Mechanical engineering
  • Matric or equivalent; diploma in Office Administration or related field is advantageous.
  • Minimum of 2–3 years experience in a service administration or operations support role.
  • Strong computer skills (MS Office, CRM/ERP systems).
  • Excellent communication and customer service skills.
  • Ability to multitask, prioritize, and work under pressure.
  • Attention to detail and strong organizational skills.
  • Working Conditions
  • Can work in any outside Nairobi if need be.
  • May require occasional overtime depending on service demands.
