Our client is a leading experiential production and event infrastructure company, known for delivering bold, custom built environments that push creative boundaries. They are looking for a high-energy, highly capable Operations Manager to take the reins of their operational engine. This is a hands on, fast paced role for someone who thrives on a challenge, lives for systems and structure, and is just as comfortable on site as they are in the warehouse or a client briefing.
Role Overview:
The Operations Manager is the driving force behind every physical build and is responsible for the planning, execution, and oversight of all the company’s builds and operations. From tents and custom setups to transport logistics and team coordination, you’ll be the person ensuring everything gets done on time, on budget, and at the highest standards.
This is a dynamic, mobile role with real responsibility: you’ll lead teams, talk to clients, estimate costs, solve problems on the fly, and build physical experiences from scratch.
Key Responsibilities:
Build – Planning & Execution
- Design and oversee operational plans for each build—timelines, scope, takedown, return logistics.
- Develop real-time cost estimates for builds, including materials, crew, logistics, and contingencies.
- Conduct site visits, develop site layouts, assess feasibility, and guide teams through pre-build briefings.
- Work with transporters, both internal and external, to ensure timely delivery of all assets.
Team Leadership
- Lead a permanent crew of 25 skilled fabricators/builders and coordinate casuals (up to 100 per shift at times).
- Clearly assign roles and communicate daily/weekly game plans across platforms like WhatsApp and email.
- Motivate, manage, and coach crew leads and site supervisors to maintain efficiency and safety on-site.
Maintenance & Materials Handling
- Oversee proper use, handling, and storage of all build materials and equipment.
- Coordinate repair schedules and maintenance logs for infrastructure, tools, and transport vehicles.
- Ensure all safety standards and operational protocols are followed during handling and setup.
Inventory & Resource Management
- Track and manage inventory with the warehouse and store keeping team to avoid shortages or delays.
- Strategically allocate stock across multiple builds while minimizing wastage and double-handling.
- Keep detailed records of usage, losses, and damage for reporting and replenishment planning.
Cross-Department Collaboration
- Work closely with the General Manager, Warehouse Managers, Technical Managers, Logistics Coordinators, Storekeepers, Drivers, Admin Teams, and Clients.
- Act as the central communication hub between on-the-ground operations and the broader company vision.
- Support team cohesion by ensuring everyone has the information and tools they need to execute.
Reporting & Software Use
- Use Excel or Google Sheets to track project timelines, budgets, and manpower allocation.
- Generate weekly reports on progress, performance, and key challenges.
- Use mapping tools or Illustrator to create basic site plans for internal use and client presentations.
Requirements:
- Bachelor’s degree in Marketing, Finance, Events or any related field
- 3+ years’ experience in operations, event production, construction, or large scale logistics.
- Experience leading teams of 20+ people in dynamic, time sensitive environments.
- Proficient in Excel/Google Sheets and comfortable with digital tools for planning and communication.
- Working knowledge of Illustrator, AutoCAD, or other layout/mapping software is a plus.
- Must be willing to work flexible hours based on build schedules.
