Key Responsibilities
- As the Local Clerk – Visa Office at the High Commission of India, you will provide essential administrative support for visa processing and office operations. Core duties include:
- Document Processing: Review and prepare visa applications, ensuring completeness and compliance with MEA guidelines, handling 50+ daily submissions.
- Record Maintenance: Organize and update digital/physical archives of applicant files, passports, and decisions, maintaining confidentiality per Italian data protection laws.
- Inquiry Response: Address applicant queries via email/phone, providing clear guidance on requirements, forms, and timelines.
- Appointment Scheduling: Coordinate visa interviews, managing calendars for consular officers and notifying applicants of slots.
- Office Administration: Handle general tasks like filing correspondence, photocopying, and supply requisitions to support daily workflows.
- Quality Control: Verify application accuracy, flagging inconsistencies for review, ensuring high standards in visa adjudication.
- Ad-Hoc Support: Assist with special projects, such as event logistics or report preparation, as directed by the Head of Chancery.
Qualifications and Skills
The Local Clerk – Visa Office role requires basic educational and personal attributes, as :
Required Qualifications and Skills:
- Age: 21-30 years at the time of application.
- Health: In good health to perform office duties.
- Education: Secondary school diploma (high school certificate) of the first grade or equivalent (foreign certificates require translation and “dichiarazione di valore” from Italian consular authority).
- Language: Strong command of written and spoken English.
- Technical: Proficiency in computer operations, including office applications (MS Word, Excel) and data management.
Additional Requirements:
- Documentation: Birth certificate, good health certificate, education certificates (translated/legalized if foreign), residence permit for non-Italians.
- Italian/EU Citizens: Self-certifications allowed if verifiable in public records.
