The GENCO Declaration Officer is responsible for managing the day-to-day handling of cargo, preparing accurate customs declarations, ensuring compliance with all regulatory requirements. The main responsibilities include lodging documents with customs and other industry-related government institutions for timely release of goods received by air or sea, ensuring timely clearance of shipments.

  • Receive declaration/documentation instructions from clients/sales team.
  • Lodge documents for cargo release (FCL & LCL containers) on ICMS or SIMBA.
  • Review any lending documents for shipment and work on them in a timely and efficient manner.
  • Collect documents from ground handling sheds by 9:00 a.m. every morning and give feedback upon physical verification to the teams.
  • Perform accurate and timely declaration upon receipt of all clearing documents from the operations manager to eliminate delays and avoid customs penalties.
  • Attend visits and clarifications on Customs, KRA, KEBS operational changes or adjustments and other government regulatory within JKIA.
  • Support the seeking of waivers and approvals from external bodies.
  • Assist in preparing quotations for shipments.
  • Complete and file Import Declaration Forms on behalf of clients.
  • Ensure the system is up to date with relevant information for traceability and accountability.
  • Complete any pending documentation to avoid penalties
  • Ensure all documents in the pigeonholes are in order/files and dockets are billed on time.
  • Escalate any shipment issues to the manager for support and guidance.
  • Open new dockets with the right information and maintain a record of the same, including archiving both physical and on the cargo-wise system.
  • Any other duty that might be allocated by the supervisor.
  • Diploma in Clearing and Forwarding or similar course.
  • Certificate in Customs & Freight Logistics – KESRA is an added advantage.
  • Minimum of 2 years working experience in a logistics environment.
  • Proficiency in MS Office.
  • Knowledge of CargoWise ERP System will be an added advantage.
  • Knowledge of ICSM, KWATOS and other Customs procedures.
  • Certification/Membership
  • Certificate in Customs and Freight Logistics – KESRA
  • Membership of Kenya International Freight and Warehousing Association
  • DG Handling Certification
  • Cargowise Certification
  • Role Related Competencies (Behavioural Indicators)
