Job Summary

The Finance, Administration, and HR Manager is a leadership role responsible for overseeing all support functions within WildLandscapes East Africa (WLEA). Reporting to the CEO, the role ensures effective financial management, administrative efficiency, regulatory compliance, and human resource oversight.

This is a hands-on position that combines strategic thinking with operational execution.The ideal candidate is a detail-oriented, solutions-driven professional with strong technical expertise in nonprofit finance, a solid understanding of HR and administrative systems, and the ability to manage multiple priorities in a dynamic and mission-driven environment.The role involves both processing tasks such as payroll and procurement, and shaping the systems and policies that will support WLEA’s future growth.

Duties and Responsibilities

Financial Management

  • Lead the day-to-day financial operations of WLEA, including bookkeeping, cash flow monitoring, and budget tracking.
  • Design, implement, and maintain financial policies, procedures, and internal controls.
  • Develop and oversee procurement policies in line with donor and legal requirements.
  • Maintain accurate records in QuickBooks Online and ensure proper coding of all transactions.
  • Manage accounts payable and receivable; ensure timely reconciliations of bank and credit card statements.
  • Prepare monthly, quarterly, and annual financial reports for internal use and donor reporting.
  • Support annual budget development and financial forecasting in collaboration with the CEO.
  • Coordinate audit preparation and ensure implementation of audit recommendations.
  • Ensure adherence to donor requirements, internal policies, and local financial regulations.

Administration and Operations

  • Oversee all administrative functions, including procurement, office operations, and asset management.
  • Maintain accurate vendor and partner records; manage contracts and service agreements.
  • Coordinate logistical arrangements for meetings, board sessions, workshops, and retreats.
  • Support compliance with legal and regulatory obligations (e.g., registration renewals, insurance, permits).

Human Resources and Payroll

  • Lead HR administration including recruitment coordination, onboarding, and staff documentation.
  • Maintain personnel files and manage staff leave, timesheets, and contract renewals.
  • Process monthly payroll and ensure compliance with statutory deductions and labor laws (e.g., NSSF, NHIF, PAYE).
  • Design, implement and support performance review processes, employee engagement, and staff training initiatives.
  • Monitor HR policy implementation and advise the CEO on updates required under Kenyan law.

Systems and Process Improvement

  • Develop and implement financial, HR, and administrative procedures and systems to improve organizational efficiency.
  • Establish and maintain internal controls and risk management practices across all support functions.
  • Contribute to the development and application of operational policies and compliance frameworks.

 Strategic Support and Collaboration

  • Serve as a strategic partner to the CEO, contributing to organizational planning and decision-making.
  • Provide financial, operational, and HR insights to support program delivery and resource mobilization.
  • Coordinate closely with the WildLandscapes International team to align financial and administrative practices globally.
  • Act as the primary liaison with vendors, auditors, banks, and other key external partners.

Educational Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, Human Resource Management, or a related field.
  • CPA qualification or equivalent professional certification is strongly preferred.

Minimum Required Experience

  • Minimum 5–7 years of relevant work experience in finance, administration, and HR, preferably within a nonprofit or donor-funded organization.
  • Experience working with international partners, donors, and regulatory frameworks.
  • Familiarity with Kenyan financial, tax, and labor regulations is required.

Required Competencies

  • Strong technical knowledge of accounting principles and HR best practices.
  • Proficiency in QuickBooks Online, Bill.com, and Microsoft Excel.
  • Experience with HR and payroll systems; knowledge of Kenyan labor law.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal and written communication skills.
  • Ability to work independently, prioritize competing demands, and maintain confidentiality.
