Our client is looking for a talented coordinator to take on a mix of Executive Assistant duties, day-to-day admin tasks, and HR processes. Someone who keeps our people engine running smoothly and our CEO operating at full power.

Your purpose
You will bring order and clarity to our operations and take pressure off the CEO, so they can focus on strategy, partnerships, and growing the business. For our Head of People, you will make sure our HR paperwork is accurate and manage contracts and documentation, ensuring we’re compliant.
Key Responsibilities
A. Executive Assistant Support
Be the CEO’s right hand by organising their schedule, preparing meetings, managing communications, and keeping key priorities moving. You’ll make sure the CEO always has what they need — and that nothing slips through the cracks — while handling all information with total discretion.
B. HR Administration
Own the flow of HR operations: prepare and update contracts, manage onboarding, track leave and attendance, maintain clean and compliant employee files, and support staff with HR questions. You’ll work closely with the Head of People to make sure everything meets our HR and legal standards.
Maintain organised contract records for staff, consultants, and partners, coordinate compliance checks, and support documentation for audits and donor reporting. You’re the person who makes sure our paperwork is complete, accurate, and where it needs to be.
Be the organisational anchor for the team. Help onboard new joiners, and keep internal communication flowing so everyone is aligned and supported.
C. Office & Admin Coordination
Keep our office running smoothly and efficiently — from supplies to logistics to vendor coordination. You’ll help organise team routines, track action points, and maintain the systems and processes that keep moving.
3. Reporting Structure
Directly to the CEO
For: day-to-day priorities, EA work, admin and office coordination, and general operational support.
Dotted line to Head of People
For: HR compliance, contract quality, records management, policy alignment, labour law oversight, and escalation of sensitive HR matters.
4. Qualifications & Experience
- A Diploma in HR Management or CHRP certification (IHRM membership is a plus)
- A solid understanding of Kenyan labour laws
- Training in Admin, Business, HR, or Executive Support
- 3–5 years’ experience as an EA, HR Admin, or Office Coordinator
- Experience supporting senior leaders
- Strong communication and organisational skills
- Confidence managing calendars, meetings, travel, and documentation
- Good digital skills (MS Office / Google Workspace)
- The ability to stay calm, focused, and prioritise well — even on busy days

- HR files are clean, complete, and audit-ready
- Team operations, scheduling, and internal coordination run smoothly
- The Head of People has clear visibility into HR matters
- The CEO receives proactive, reliable support
- And last but not least… you feel at home and happy in the team.
