  • We are seeking a warm, professional, and detail-oriented Guest Relations Officer (Administration Focus) to deliver exceptional guest experiences while providing strong administrative and coordination support within our luxury safari camp.
  • This role is ideal for a hospitality professional who thrives in a luxury environment, understands personalized service, and excels at managing information, communication, and follow-ups that keep camp operations running smoothly.
  • The Guest Relations Officer plays a key role in minimizing fragmented communication, reducing operational interruptions, and supporting camp leadership by centralizing guest-related coordination and administrative tasks.
  • The position will report to the General Manager – Kenya, based in Tsavo West.

Here’s what you need in your tool kit:

  • Diploma or Degree in Hospitality Management, Tourism, Business Administration, or a related field
  • Previous experience in Guest Relations, Front Office, or administrative roles within luxury hotels, lodges, or safari camps
  • Strong administrative, organisational, and coordination skills with high attention to detail
  • Excellent verbal and written communication skills
  • Proficiency in MS Office and property management systems
  • Customer experience–driven with a genuine passion for hospitality
  • Well-groomed, personable, and professional
  • Team player
  • Able to multi-task and prioritise effectively
  • High level of discretion and confidentiality
  • Flexible manner and willingness to assist
  • Works well under pressure
  • Proactive, solution-oriented mindset
  • Willingness to learn and develop
  • Ability to work flexible hours in a remote camp environment

Key Responsibilities as a Guest Relations Officer

  • Act as the primary point of contact for guests from arrival to departure
  • Welcome guests, conduct camp orientations, and ensure a seamless guest journey
  • Anticipate guest needs and proactively resolve concerns with professionalism and discretion
  • Coordinate special occasions, bespoke experiences, and guest itineraries in collaboration with camp teams
  • Maintain service standards in line with luxury safari brand expectations

Administrative & Office Support

  • Maintain accurate guest records, preferences, and feedback within the property management system
  • Prepare daily arrival and departure lists, guest schedules, and internal briefings
  • Handle guest and tour operator correspondence, emails, and follow-ups
  • Support reservations, billing enquiries, and basic financial documentation where required
  • Maintain organised filing systems, reports, logs, and administrative records
  • Assist camp management with reports, stock records, and general office administration

Coordination, Communication & Operational Support

  • Liaise closely with Reservations, Operations, Housekeeping, Guides, and F&B teams to ensure smooth guest experiences
  • Clearly communicate guest preferences and special requirements to relevant departments
  • Centralise and streamline information flow to reduce fragmented communication
  • Track operational action points and coordinate follow-ups to ensure timely closure
  • Reduce unnecessary interruptions and email volume, particularly around arrivals, requests, and clarifications
  • Prevent repeat service recovery situations that would otherwise require General Manager involvement
