Job responsibilities

The job holder will have the following key responsibilities:

Due Diligence & Risk Assessment

  • Conduct due diligence on potential grantees following established frameworks, including review of financial statements, audits, legal registrations, governance materials, and sub-grantee oversight systems.
  • Perform sanctions screening, anti-money laundering checks, coordinate equivalency determinations for international grants, and charitability assessments.
  • Assess financial, operational, legal, and compliance risks using GMH’s risk assessment tools; compile findings into due diligence reports for the Senior Grants Manager and program teams.
  • Maintain and update risk-based due diligence frameworks, templates, and standard operating procedures tailored to grant size and complexity as directed by the Senior Grants Manager.
  • Manage own due diligence workflow and prioritise multiple concurrent reviews to meet deadlines.
  • Add grant applications to Fluxx and ensure information accuracy.
  • Track applications through the review process and communicate status updates.

Grant Administration & Compliance

  • Execute grant agreement processing, coordinate payment requests, and maintain organised, audit-ready grant files.
  • Track grant expenditures against budgets and report variances to the Senior Grants Manager.
  • Ensure GDPR-compliant data collection and storage throughout grant workflows.
  • Manage grant reporting schedules and follow up with internal programme teams on report submissions; review reports for completeness and compliance, escalating issues to the Senior Grants Manager.
  • Monitor intermediary reports on sub-grantee performance and flag compliance concerns.
  • Identify documentation or compliance issues that require legal counsel review.

Grants Management & Systems

  • Enter, update, and maintain accurate grant information in Fluxx throughout the grant lifecycle, including due diligence findings, compliance documentation, and reporting.
  • Generate routine reports, data extracts, and compliance metrics as requested by the Senior Grants Manager and program teams.
  • Provide technical support to grantees and staff on Fluxx functionality and reporting requirements.
  • Maintain process documentation and user guides for grants management workflows
  • Contribute to system optimisation and process improvement initiatives.

Support & Collaboration

  • Respond to GMH program teams and grantee inquiries on due diligence documentation, compliance requirements, grant making and reporting processes.
  • Build positive relationships with GMH program teams while ensuring appropriate documentation and oversight.
  • Manage grant reporting schedules and proactively communicate deadlines to GMH program teams and grantees.
  • Suggest improvements to due diligence and grant administration processes based on hands-on experience.
  • Help prepare and manage agendas for weekly internal grant and team meetings.
  • Perform other duties and responsibilities as requested.

Requirements:

  • Bachelor’s degree required in a relevant field.
  • 3+ years of professional experience in grant management, compliance, due diligence, or related fields, preferably with international development, philanthropy, or non-profit sector.
  • Experience with Fluxx or similar grants management platforms required.
  • Experience with regranting or intermediary funding models, conducting due diligence in multiple regions, particularly Latin America, Asia, or Africa.
  • Strong analytical skills with demonstrated ability to assess financial documents and organisational risk.
  • Excellent attention to detail and ability to identify discrepancies or areas of concern.
  • Strong project management skills and ability to manage multiple concurrent grants and deadlines.
  • Knowledge of international grant making regulations and best practices.
  • Excellent written and verbal communication skills in English required.
  • Proven ability to collaborate effectively across teams.
  • Diplomatic and culturally sensitive approach to working with international partners.
  • Excellent interpersonal and communication skills.
