Administrative Associate Job Neopenda

Admin Jobs, Neopenda Jobs.

Location: Nairobi, Kenya (remote)
Start Date: May 2026
Type: Full-time
Reports To: CEO

About Neopenda

In hospitals across Sub-Saharan Africa, nurses are doing extraordinary work with limited tools. A single pulse oximeter shared across an entire ward. Manual vital sign checks between competing demands. The dedication is there, what’s missing is the infrastructure to match it. That’s where Neopenda comes in.

We built neoGuard, a wearable vital signs monitor purpose-built for the realities of healthcare in emerging markets. It continuously tracks pulse rate, oxygen saturation, respiratory rate, and temperature, and gives nurses real-time visibility across an entire ward from a single dashboard. It works through power outages. It requires no consumables. And it was co designed with the healthcare workers who use it every day.

We are CE Mark certified, ISO 13485 compliant, and our technology is actively monitoring patients across 50+ hospitals in Kenya and beyond, with over 150,000 hours of continuous monitoring delivered to date. We’ve been recognized by organizations like WHO, Grand Challenges Canada, and MIT Solve.

Neopenda is a small team with outsized ambition. We operate across the U.S., Kenya, and Nigeria. We are scaling commercially, expanding into new markets, and hiring across multiple roles.

Role Description

We’re looking for a highly organized, detail-oriented Administrative Associate based in Nairobi to keep our operations running smoothly as we grow.

This is a hands-on, varied role. You’ll coordinate device shipments and installations across hospital facilities, maintain documentation within our quality management system, support bookkeeping and financial record-keeping, create marketing visuals, and handle the day-to day administrative work that makes everything else possible. You’ll work closely with our CEO, sales team, and customer success team.

This role requires strong organizational instincts, comfort with technology and software tools, and a genuine ability to manage competing priorities.

Key Responsibilities

  • Coordinate logistics for neoGuard shipments, deliveries, and installations across hospital facilities
  • Maintain accurate records and documentation within our regulated quality management system (QMS), including reviewing data and generating reports
  • Track and organize internal data across teams using Airtable and other tools
  • Support bookkeeping activities including expense tracking, invoicing, and financial record organization
  • Create marketing content and visuals using Canva and assist with campaign execution
  • Manage scheduling, calendar coordination, and meeting logistics
  • Handle general administrative tasks that keep day-to-day operations running
  • Look for opportunities to improve systems, processes, and workflows

Qualifications

  • 2+ years of experience in an administrative, operations, or coordination role
  • Strong organizational skills with high attention to detail
  • Clear written and verbal communication skills in English
  • Ability to juggle multiple tasks and prioritize under time pressure
  • Experience working in a startup or small, fast-paced team is a plus

Tools & Technical Skills

  • Familiarity with Airtable or similar CRM/database tools
  • Experience with Canva or similar design tools
  • Familiarity with QuickBooks or similar bookkeeping software
  • Proficiency in Microsoft Office and Google Workspace

Mindset

  • Proactive and self-directed, you don’t wait to be told what needs doing
  • Reliable and accountable, you follow through on every detail
  • Comfortable in a growing organization where priorities shift and resourcefulness matters
  • Team-oriented and willing to support across functions
  • Available to work some early evening hours to overlap with our U.S.-based team

Why Join Neopenda?

This is a company where the work you do reaches the bedside. Every shipment coordinated, every record maintained, every system improved plays a direct role in getting life-saving technology into hospitals, and to the patients who need it most.

You’ll be part of a small, close-knit team where your contributions are visible and valued from day one. You’ll gain broad exposure across operations, quality, finance, sales, and marketing, real breadth that’s hard to find anywhere else at this stage. And you’ll be joining a company in motion: we’re actively hiring across multiple roles, and there is real opportunity to grow as we scale.

We’ve been recognized by Grand Challenges Canada, Georgia Tech’s 40 Under 40, the WHO Compendium of Innovative Health Technologies, and MIT Solve. But what drives us isn’t the recognition, it’s the nurses, the families, and the patients counting on what we build. If that resonates with you, we’d love to meet you.
