Silentnight Bedding is hiring an FG & Logistics Supervisor to oversee finished goods operations and coordinate dispatch and transportation activities. The role is based in Nairobi and experience in warehouse operations is required.

Job Purpose

To lead and control all Finished Goods Warehouse and Logistics operations by ensuring accurate inventory management, efficient warehousing, timely order fulfillment, dispatch, transportation, and fleet operations.

The role is responsible for maintaining stock integrity, optimizing warehouse and transport resources, and ensuring customers receive products on time, in full, and in excellent condition while supporting the Company’s operational and service objectives.

1. Finished Goods Warehouse Operations

  • Supervision: Oversee all finished goods receiving processes directly from Production.
  • Receiving & Inspection: Ensure all finished goods are thoroughly inspected, accurately received into the Sage ERP system, and stored in designated locations.
  • Dispatch Preparation: Oversee the picking, staging, loading, and dispatch of finished goods against approved sales orders.
  • Quality & Safety: Ensure proper product handling, stacking, and storage techniques to prevent product damage.
  • Housekeeping: Maintain high warehouse housekeeping standards using 5S principles.

2. Inventory Management

  • Record Keeping: Maintain highly accurate finished goods inventory records within Sage ERP.
  • Stock Auditing: Conduct daily cycle counts and periodic stock verifications.
  • Discrepancy Resolution: Investigate and reconcile inventory variances in coordination with the Finance and Inventory Control teams.
  • Stock Rotation: Ensure strict compliance with FIFO (First In, First Out) principles where applicable.
  • Reporting: Lead comprehensive monthly and annual stock counts.

3. Warehouse Space Management

  • Layout Optimization: Plan and organize warehouse layouts to maximize storage capacity and efficiency.
  • Location Systems: Implement and maintain effective bin location systems.
  • Space Utilization: Ensure safe stacking heights, easy accessibility, and efficient utilization of all warehouse space.
  • Continuous Improvement: Proactively recommend improvements to warehouse storage design and material flow.

4. Dispatch Planning & Order Fulfillment

  • Scheduling: Develop daily and weekly dispatch plans that align with customer orders and production output.
  • Cross-Department Coordination: Align dispatch priorities with Sales, Customer Service, and Production teams.
  • On-Time Delivery: Ensure all customer orders are dispatched accurately, safely, and on time.
  • Documentation: Verify and audit all Picking Slips, Delivery Notes, Invoices, Route Plans, and Inter-Branch Transfer documentation prior to dispatch.
  • Bottleneck Resolution: Actively monitor order fulfillment performance and swiftly resolve any dispatch bottlenecks.

5. Logistics & Fleet Management

  • Resource Allocation: Allocate company-owned and contracted vehicles to daily deliveries.
  • Driver Supervision: Manage drivers, assign delivery routes, and coordinate trip schedules.
  • Performance Monitoring: Monitor driver attendance, safety compliance, and overall performance.
  • Documentation Loop: Ensure the timely return and filing of signed Proof of Delivery (POD) sheets and delivery documentation.
  • Maintenance Coordination: Coordinate preventative vehicle maintenance schedules with relevant maintenance departments.

6. Fuel & Fleet Performance

  • Efficiency Tracking: Monitor fuel consumption, mileage, and overall truck utilization.
  • Variance Investigation: Investigate fuel variances or anomalies and recommend corrective actions.
  • Asset Performance: Track truck turnaround times and analyze fleet utilization metrics to optimize operational costs.
  • Bachelor’s Degree in any of the following disciplines: Supply Chain Management & Logistics, Transport Management, or a related field. Experience
  • Minimum 4–6 years of experience in warehouse, logistics or distribution operations within a manufacturing, FMCG or retail environment.
  • At least 2 years in a supervisory or team leadership role.
  • Experience managing Finished Goods inventory, dispatch operations and transport coordination.
  • Hands-on experience using an ERP system (preferably Sage ERP or equivalent)
