Tips to Run Your Business Smoothly and Efficiently

Lisa, a medium-sized company owner was getting frustrated due to the issues she was facing in her company. She was having a high turnover rate because most hires didn’t fit in their roles or in the company culture leading to them leaving without proper notice.

The employees were disengaged and were not performing. She was experiencing a lot of missed deadlines from employees due to poor work done. Employees were reporting to work late and there was hire absenteeism. There was low staff motivation and morale and a lot of conflicts kept coming up.  This environment also affected the engaged employees making the workplace toxic for them.

As a result, Lisa found herself losing a lot of business and her brand was destroyed. She was always tired from picking up poorly work done by staff. She found herself always firefighting. She spent a lot of time and money replacing employees and training them. With all this, she lacked time to focus on the business and she was losing a lot of money.

When I listened to Lisa, I realized that most small and medium sized-companies struggle when it comes to streamlining processes in their company and mostly it is because they do not have clear structures in place making running the business difficult.

I told Lisa that she should have considered having clear standard operating procedures (SOPs) that would have ensured that the services in her company were delivered consistently all the time which would have eased her work by standardizing the processes in her organization and help guide her employees on how work needs to be done and completed, which would have saved her brand.

The other documents would have been HR Policies and Procedures to help her manage the behaviors of employees and provide clarity on issues such as working hours, leave days, disciplinary process, etc. This would have given her peace of mind knowing she is compliant with the employment act and having her staff know what is expected of them.

What Lisa did not also realize is that if she had the best talent that fitted the roles she was looking to fill and the organizational culture, then her business would have worked much better.

This is because the right employees are engaged, motivated and their productivity is high and are committed to the business and loyal. For Lisa, this would have meant having a high retention rate saving her time and money she spent recruiting, training and onboarding.

 I also advised her to;

1. Consider Delegating

Lisa pointed out that sometimes she felt that her staff may not have done her job as well as she might have which left her overwhelmed with work she should have delegated.

However, what she did not know is that delegation boosts morale and increases the productivity of staff as they feel trusted.

It would have also helped her free up her time to focus on the business’s bigger picture.

 2.  Set Company Objectives and Communicate to Staff

As we near the end of the year. Have you come up with 2022 goals?

Consider your first step as setting the company objectives. However, it is good to remember to communicate what they are to your staff so that they can work towards that.

Having clear end goals for the company and employees helps things flow with ease.

3. Ensure to Measure Employee Performance

Have you already done your staff’s annual performance review?

Having clear, smart and time-bound KPIs for your employees and measuring their performance based on this, is important.

It helps you know who is performing and not and helps you determine what the next step is which could be either giving a warning letter or lawfully dismissing the employee who is not performing.

4. Consider Training

Think about training your staff as it helps you empower your workforce with the skills they need to contribute to your business’s success.

You can consider meeting your staff to discuss any new processes or teach new employees about the current ones.

Empowering them with information on what to do when new conflicts arise can reduce the firefighting you do and allow work to go forward.

Conclusion

When you have structures in place, it is easy to have your peace of mind knowing things in the organization are working smoothly and towards business success
