3 Secrets For Writing An Administration Job CV

As an administrative professional, what will make you stand out among numerous applicants when applying for administration jobs?

One of the secrets to ensuring you beat the competition is to have a well-written CV which explains why the potential employer should hire you and leave out the other hundreds of people eyeing the same position.

For an administrative position, your soft skills are as important as your hard skills, so you should pay attention to both.

Read the job description attentively to find the top skills or personality traits the company is looking for and include them right at the top of your CV. From the first lines, show the employer you’re the one they are looking for. Your summary/objective section is right for it.

To get through the shortlisting and get invited for an interview, you have to list your specific duties and responsibilities which make you the right candidate for the job.

Also, don’t just list the places where you work and positions you hold. Include specific projects and activities that made you stand out, show your results and achievements.

However, if you are applying for entry-level administration jobs, the tendency is that your CV might end up being brief. Yes, your CV can be brief but not so much as writing a one-liner duty such as “manning the reception” and moving to your next duty.”

Of course, the employer knows that you were manning the reception, but apart from that, what else were you doing? Instead of this, take a rough paper and list all their duties and responsibilities and to do so in the order of their priority, then you can list say eight of them on the CV by favoring what the employer is asking for in the job advert.

For example, if maintaining the general filing system of the company or even planning and preparing meetings to maintain an adequate inventory of office supplies were your duties while ‘manning the reception, then you should list that on your CV.

1. Use keywords

There are certain keywords every employer hiring for administration jobs is always looking for. These are buzz words such as good organization skills, a quick learner, good communication skills, ability to multi-task, technical knowhow, excellent time manager, and all these skills which administration jobs call for.

Keep in mind your CV may have to pass the CV screening process. ATS systems search for necessary words and phrases in your CV, so use words from the job posting to make a fit.

2. Highlight your technical skills & Certifications

Whether it’s the knowledge of Microsoft Office and Outlook or specific software like CRM (customer relationship management), productivity and social media tools, enterprise resource planning (ERP), ensure you include it on your CV.

This will give you an advantage over the other candidates, especially if you possess many skills.

Also, any additional professional certifications or training should be listed as well.

3. Customize your CV

Change your CV according to the specific job opening. Don’t make a one-fits-all one. It may be the same job title, but the responsibilities of a certain company are not similar to those of another company. Go through every job description and customize it to the specific skills and experience the particular company is looking for.
